      The District Support Office Manager will serve as clerical support for Maintenance, Transportation, and District Office. Will assist these departments with clerical needs, including time reporting for payroll, processing key cards, requisitions, purchase orders, scheduling for district transportation services and staffing, transportation department record keeping, providing quotes for transportation services, collecting transportation mileage reporting data, record keeping for facility use items, scheduling for custodial services and staffing, processing receipts for purchasing cards, requisitions, purchase orders, and inventory tracking; processing of bid and L&I paperwork; tracking and gathering information needed for requests and various other information tracking; and other related duties and responsibilities as assigned. Follow and uphold all District and Building policies, rules, and regulations.

      Performance Responsibilities:

      • Serve as clerical support for District departments.

      • Work closely with building/department staff.

      • Responds to inquiries and request for information and assistance from school/district personnel, students, parents, and the general public; provides copies of printed informational materials as requested.

      • Enters and retrieves computer data; data entry accuracy is crucial and a priority.

      • Update various excel worksheets, electronic online data and reports; this is a priority and accuracy is crucial.

      • Process requisitions, purchase orders, purchases, and key cards; reporting accuracy and punctuality is a priority and crucial.

      • Assist with time reporting for payroll purposes; reporting accuracy and punctuality is a priority and crucial.

      • Assist with Transportation vehicle routing and reporting; reporting accuracy and punctuality is a priority and crucial.

      • Organize and reconcile all Department accounts payable paperwork (i.e. invoices, packing slips, receipts), to submit to the District Office for processing; accuracy and organization is a priority.

      • Assist and offer assistance to school/district personnel, students, parents, and the general public at what would be a considered a high level of customer service oriented courteousness and communication.

      Required Requirements:

      • Possess High School Diploma/GED
      • Possess secretarial and office skills, including using at a mid-proficient level Microsoft based computer software such as Outlook, Excel, and Word.

      • Able to communicate and relate well with people of all ages; is honest adaptable, dependable, accurate, discreet and pleasant.
      • Capable of planning and organizing workload in order to meet deadlines.
      • Must be dependable.

      Preferred Requirements:

      • Bilingual in English and Spanish.
      • Associates Degree or equivalent.
      • Experience with Powerschool, Parent Square, Unite GPS Software, and Asset Essentials Software.

      • Experience with School bus or Commercial Vehicle routing.

      • OSPI state reporting, CDL compliance documentation/requirements, and WA DOT Rules & Regulations.

      • Experience in ordering materials, processing requisitions, and purchase orders.

      • Experience with multi-line telephones.

      Specific Details:

      Monday-Friday / 7 hours per day.
