Job Summary/Basic Function
Maryville University is currently seeking an enthusiastic and detail-oriented individual to join our team as an Academic Records Generalist. This role plays a crucial part in maintaining the accuracy and integrity of student academic records, ensuring compliance with policies, and contributing to the overall success of our academic programs. The individual in this role will emulate five-star service to all learners and provide on-campus support to walk-ins at our Visitor Center. Essential Responsibilities:
Student Records Management:
• Manage and maintain student academic records with a focus on accuracy, completeness, and confidentiality.
• Input and update student information, including grades, course registrations, changes of majors, and other academic-related data accurately and in a timely manner.
Data Analysis & Quality Assurance:
• Implement and maintain data quality controls to ensure the accuracy and consistency of academic records.
• Conduct regular audits to identify and resolve discrepancies in student information.
• Generate reports to support academic decision-making processes.
Five-Star Service:
• Serve as primary academic records contact for Visitor Center walk-ins and questions.
• Provide omnichannel support to students from diverse backgrounds and populations (e.g., phone, email, live chat, in-person meetings) in a timely and frictionless manner.
Collaboration:
• Be a dynamic team player, listening and working well with others to achieve goals in a responsive and organized manner.
• Collaborate with academic advising teams and faculty to support degree audit coding, grading, and the development of self-service sample course plans.
Process Improvement:
• Identify opportunities for process improvement within student records management.
• Implement efficient workflows and contribute to the optimization of data-related processes.
Ad Hoc:
• Fulfill other duties as assigned by the management team.Minimum Qualifications
Knowledge of college policies, procedures, and practices with the ability to work related questions
• Ability to identify, understand, analyze and design unique and innovative solutions to complex challenges
• Ability to interpret complex policies and procedures and apply these guidelines correctly in various situations.
• Ability to be adaptable, intuitive, and flexible regarding tasks and priorities in a dynamic environment
• Strong interpersonal skills and ability to communicate and collaborate effectively with stakeholders and colleagues
• Passion for technology, innovations, and the student experience
• Ability to meet strict deadlines
•Bachelor's degree or two years of experience in the Office of Registrar in higher educationPreferred Qualifications
