      Other Conditions: State extramural funds. Appointment to begin June 2024 or soon thereafter. Renewal contingent upon department needs, availability of funds, and satisfactory performance.

      Duties and Responsibilities

      • *Assist in managing, reporting, and collecting data for extramural contracts and contracts.
      • *Collect and validate promissory notes, issuing stipends, and monitoring student compliance with program requirements.
      • *Assist in writing reports for federal and state agencies to be dispersed to the state’s Department of Education.
      • Assist with program assessment reports to UH Manoa and the College of Education assessment office.
      • *Prepare and coordinate statewide faculty and student participation face-to-face travel requirements. Ensure UH fiscal procedures for stipends are followed, while also collecting and organizing documentation, including tax and consent forms.
      • *Direct department admission procedures by coordinating admission paperwork, following up on status and evaluation, tracking progress, organizing interviews, etc.
      • *Serve as the primary point of contact for approximately 100+ applicants as well as other departments associated with the admissions process.
      • Oversee the Department of Special Education Resource Center by developing and implementing administrative procedures, policies and public information, evaluating collection development, and implementing cataloging and classification systems.
      • Design, generate, and synthesize content for recruitment marketing campaigns in compliance with program objectives to be disseminated to prospective students.
      • Manage and ensure promotion through various media outlets, including newspaper, radio, web, and social media.
      • Coordinate and implement new student procedures. Develop and disseminate information packets, communicate requirements, monitor and audit student progress, and assist with orientation.
      • Track and maintain department budgets.
      • *Process fiscal documents including purchase orders, travel and personal reimbursements ensuring conformity with University and State fiscal policies and procedures and propriety of expenditures.
      • *Facilitate and manage registration for new and continuing students by contacting advisors, tracking upcoming and previously completed courses, assigning course reference numbers. placing overrides, and contacting students.
      • Hire and supervise student workers.
      • Gather, compile, and analyze data regarding student enrollment and Felix stipend program participation.
      • Other duties as assigned

      Minimum Qualifications
      1. Possession of a baccalaureate degree in Education, Social Sciences, Liberal Arts, or related field and 1 year(s) of progressively responsible professional experience with responsibilities for office/program management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
      2. Functional knowledge of principles, practices and techniques in managing multiple platforms of social media accounts demonstrated by knowledge, understanding and ability to apply concepts, terminology.
      3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with processing procurement and other fiscal documents.
      4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of office/program management.
      5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
      6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
      7. Demonstrated ability to operate a personal computer and apply word processing software.
      8. Ability to work non-regular work hours such as nights, weekends, and holidays up to four (4) days a semester.

      Desirable Qualifications
      1. Familiarity with UH policies and procedures.
      2. Ability to multi-task and perform in a fast-paced environment.
      3. Experience with RCUH, KFS, and eTravel systems.
      4. Experience participating and planning in-person and virtual meetings.
