      Overseeing a range of financial tasks to maintain the accuracy and efficiency of our accounting operations, including handling financial transactions for the department by receiving funds from probationers and officers, disbursing funds, and meticulously recording all monetary transactions.
      • Perform daily operations of processing invoices for payment and bank deposit preparation according to procedures set by the Accounting Supervisor.
      • Maintain accurate budget balances on line items according to approved budgets and the TDCJ-CJAD Financial Management Manual.
      • Review purchase requisitions and prepare purchase orders in compliance with County Purchasing Department guidelines and the Department's accounting procedures.
      • Code and process invoices for payment in a timely manner, ensuring accuracy and approval per budget and/or contract constraints.
      • Verify all monies collected by cashiers using the Daily Money Recap and ensure the safekeeping of all receipted monies, checks, and deposits.
      • Electronically deposit all collections daily, including the beginning and ending receipt numbers corresponding with the deposit.
      • Perform any other duties assigned by the Accounting Supervisor.
      • Compare totals on cash registers with the Daily Receipt Report in CSS to verify balances. Endorse checks, list, and process electronically by properly scanning and reconciling.
      • Post data and balance accounts.
      • Compile collection, disbursement, and bank reconciliation reports.
      • Process restitution on the 15th and last day of each month by running CSS reports, preparing checks, authorizing checks with the Treasurer’s Office, and mailing checks.
      • Assist in preparing necessary quarterly reports to the State for Sexual Assault fees received and Unclaimed Restitution.
      • Maintain supporting documentation for all restitution cases, along with address verification forms.
      • Maintain department vehicles, including monthly inspections, documenting service maintenance, repairs, and fueling information.
      • Operate office machines such as computers, calculators, and fax machines.
      • Perform any and all duties as instructed by the immediate Supervisor and/or CSCD Management.

      Knowledge, Skills, and Abilities
      • Proficiency in using standard office equipment, including personal computers and software programs such as Microsoft Office Word, Excel, and Outlook.
      • Strong writing skills are required to produce grammatically correct documentation.
      • Excellent verbal communication skills with a professional demeanor and a focus on providing exceptional customer service.
      • Ability to prioritize multiple tasks while working under pressure with time constraints.
      • Bilingual communication skills in English and Spanish.
      • Typing proficiency of at least 30 words per minute.
      • Strong organizational skills.

      MATHEMATICAL SKILLS
      Proficient in calculating figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Capable of applying concepts of basic algebra and geometry.

      REASONING ABILITY
      Capable of using common sense to follow instructions provided in written, oral, or diagram form. Skilled in handling problems that involve several concrete variables in standardized situations.

      OTHER SKILLS AND ABILITIES
      Proficient in both written and oral communication; skilled in interacting with people; and knowledgeable about the Department's mission.
      • Must have a High school diploma or GED from an accredited institution.
      • Associate's degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience
      • Additional education or training in office administration is a plus.
      • Previous experience in an administrative or clerical role, particularly in a legal or probation setting, is preferred.

      Other Requirements/Information
      • Must have a valid Texas Driver's License and Liability Automobile Insurance.
      • The Webb County Drug and Alcohol Policy applies to this position. Pre-employment drug and alcohol testing, a Motor Vehicle Record (MVR) check, and a criminal background check are required.
      • This position is not covered under Civil Service; however, all other Webb County policies apply.
