Payroll Management & Oversight:
- Directly manage and supervise payroll staff, fostering a high-performance and accurate payroll processing environment.
- Oversee the comprehensive process and timely distribution of weekly payroll for all employees, ensuring accuracy and adherence to established schedules including
- Monitering and understanding HBG reports.
- Serve as the primary liaison with Human Resources regarding new hires, employee status changes, terminations, and benefits administration, ensuring seamless information flow and coordination.
- Maintain meticulous records of employee medical, dental, and other benefits (e.g., vacation, sick leave, holiday pay), facilitating accurate tracking and utilization.
- Ensure strict compliance with all corporate, Federal, and State legal requirements pertaining to payroll, benefits, and financial reporting.
- Prepare and process manual check requests for payroll and benefits adjustments with precision and urgency.
Financial Operations & Compliance:
- Develop, recommend, and implement robust payroll and accounting-related policies and procedures to optimize efficiency, enhance accuracy, and ensure the timely processing of both payroll and financial transactions.
- Submit and diligently monitor accounts payable invoices for prompt payment and accurate accruals, managing vendor relationships effectively.
- Provide expert assistance and timely resolution to inquiries from employees, the corporate office, and vendors regarding financial matters.
- Lead and manage critical financial projects, including but not limited to CHP Payroll audits, Sick Pay and Health Ordinance compliance, Benefits Open Enrollment, and year-end W-2 distributions, ensuring successful outcomes.
- Conduct thorough reviews and ensure the accuracy of preliminary and final financial statements in close collaboration with the General Manager and Regional Controller.
- Execute all month-end and year-end closing functions, encompassing accrual and expense tracking, precise journal entries, detailed variance analysis, and overseeing semi-annual inventories.
- Perform frequent and rigorous reconciliations of petty cash, meticulously accounting for all expenses, receipts, and funds assigned to the division to maintain financial integrity.
- Provide comprehensive financial support and insights to the General Manager and the local management team, enabling informed decision-making.
- Collaborate effectively with corporate staff and vendors to ensure timely payments and the efficient resolution of complex financial statement and general ledger issues.
- Review purchase orders diligently and investigate/reconcile any discrepancies with invoices and receipts to maintain accurate financial records.
- Ensure unwavering compliance with all local union collective bargaining agreements, particularly as they relate to payroll, benefits, and employee compensation.
Team Leadership & Operational Integration:
- Supervise the Payroll Clerk, providing guidance, training, and support to ensure accurate pay for all employees, including pay rates, bonuses, allowances, and paid leave, and proactively assist with discrepancies as needed.
- Actively attend operational and management meetings to gain a comprehensive understanding of divisional operational functions and provide relevant financial and accounting updates, fostering cross-functional collaboration.
- Position reports directly to Division General Manager, in addition to Regional Director of Finance
- Strategic Reporting & Analysis: Collaborate closely with division staff to meticulously prepare and compile comprehensive monthly financial and operational reports for both the client and the General Manager. These reports will provide critical insights into performance, highlighting key trends and areas for improvement.
- Proactive Data Management & Investigation: Proactively run, analyze, and thoroughly investigate daily, weekly, and monthly reports as required by the client and General Manager. This includes identifying discrepancies, investigating variances, and ensuring data integrity to support informed decision-making.
- Ad-Hoc Reporting & Client Support: Provide timely and accurate assistance with ad-hoc reporting requests from the client, General Manager, and the local management team. This involves adapting to evolving needs and delivering customized reports to address specific inquiries and support strategic initiatives.
- B.A. or B.S. in Accounting or applicable experience of five (5) years or more.
- Strong leadership skills.
- Strong organizational and problem-solving abilities.
- Organized, detail-oriented, and ability to manage multiple projects.
- Ability to meet deadlines.
- Strong interpersonal and communication skills.
- Excellent technology skills, including proficiency with Microsoft Excel.
- Transportation industry experience is a plus.
