      Position Summary

      The Accounts Receivable (AR) Specialist will support the organization's financial operations by performing daily accounts receivable processes, including grant billing and collections. This position ensures the timely and accurate processing of invoices, reconciliation of payments, and compliance with grant reporting requirements. The Specialist will work closely with program managers, the finance team, and external funding partners to ensure optimal revenue and grant compliance

      Required Qualifications
      • Associate Degree in Accounting with non-profit experience preferred.
      • Minimum of 2 years of experience in accounts receivable, grant billing, or a similar role required.
      • Experience working with FQHCs, grant-funded programs, or healthcare organizations preferred.
      • Proficiency with accounting software systems (e.g., Sage Intacct or equivalent).
      • Strong understanding of accounts receivable processes and grant compliance requirements.
      • Excellent attention to detail and high level of accuracy.
      • Proficient in Microsoft Office (Outlook, Word, and Excel).
      • Ability to work on multiple priorities, meet deadlines, and work effectively under pressure.
      • Strong analytical and problem-solving skills.
      • Effective communication skills with the ability to interact professionally with internal and external stakeholders.
      • Commitment to HIPAA and ability to abide by standards of professional ethics and maintain confidentiality.
      • Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
      • Assist and support the Center/Department/Program to meet standards of High Reliability.
      Essential Responsibilities
      • Prepare and reconcile daily cash, checks, and electronic fund transfers (EFTs) to appropriate accounts.
      • Prepare, submit, and track grant invoices, ensuring they are accompanied by the required supporting documentation and comply with funder guidelines and timelines.
      • Monitor and maintain AR aging reports and follow-up on outstanding receivables.
      • Research and resolve payment discrepancies or billing issues in coordination with internal departments.
      • Reconcile AR accounts monthly and assist with month-end close processes.
      • Review grant agreements to identify billing schedules, financial terms, and reporting requirements.
      • Work with program managers to align invoicing with grant performance deliverables.
      • Prepare financial data for grant audits, reviews, and reporting.
      • Maintain accurate and organized financial records to support audits, compliance, and reporting needs.
      • Support process improvements in AR workflows, grant billing, and documentation.
      • Communicate effectively with internal teams, funding agencies, and external partners to resolve issues and clarify financial information.
      • Assist the Accounting Manager with other departmental tasks and projects as assigned.

      Physical Demands and Work Environment

      The work environment is characteristic of a medical clinic environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to sit; use hands to handle, or feel. The employee is also required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.

      The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client's use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
