- Responsible for managing the directors diary
- Preparing key meeting materials alongside co-ordinating agendas and meeting minutes
- The first point of contact for external enquiries
- Supporting the delivery and promotion of events
- Supporting finance processes
- Contributing to our website and marketing content
- Collaborating with colleagues across the NHS Confederation in Wales, London, Leeds, and Northern Ireland.
- Manage diary and appointments for the Director.
- Support the production of papers and presentations in advance of key meetings and events.
- Liaise with the team to develop agendas for team meetings and write minutes.
- Be the initial point of contact for external callers.
- Support colleagues with Customer Relationship Management database (CRM).
- Coordinate meeting room bookings.
- Manage office electronic filing system and update as necessary.
- Manage and distribute any incoming correspondence, ensuring matters of urgency and deadlines are drawn to the attention of appropriate team member.
- Assist with delivery and marketing of online and in person events.
- Support Business and Events Manager with finance processes.
- Assist in the distribution of publications.
- Support Senior Media and Communications Adviser as needed, including drafting and updating content for the Welsh NHS Confederation website, designing newsletters and marketing information for events.
- Work with the wider NHS Confederation when necessary through liaising with colleagues from London, Leeds and Northern Ireland.
- Any other duties considered appropriate.

- and Explorer, as well as design tools such as Canva, Adobe InDesign, or other creative
- software packages.
- Ability to build and maintain effective relationships with internal and external
- stakeholders, and communicate confidently with senior stakeholders.
- Able to work independently and experience of working in a team.
- A responsive, flexible attitude with the ability to use own initiative and manage priorities
- often in a fast-moving environment.

Job summary
Key responsibilities include providing day to day support for the Director, such as diary management, preparation of meeting papers, and other secretarial duties. Supporting the overall team with key administration tasks is also integral to the role, including supporting with events and wider communication.
