      Administration Support Officer

      Clerk Grade: 3/4 Temporary role for up to 5.5 months
      Location: 4PSQ Parramatta, Gosford or Sydney Mckell location
      Salary Range: $82,193 - $90,001 + super
      Safety & Risk Management - People Services, People & Culture, Department of Customer Service

      About the Opportunity:

      Due to an internal movement, we have a great 5.5-month temporary opportunity for a talented Administrative Support Officer to join the high-performing and progressive Safety & Risk Management Team within the People & Culture Division at the Department of Customer Service.

      This is an excellent short-term opportunity to work within a centralised Centre of Expertise function, supporting key safety and risk initiatives across the department.

      You will play a vital role in the day-to-day administrative support of the team, including:

      • Coordinating meetings, agendas, minutes and follow-up actions
      • Triaging and managing WHS reporting system enquiries and inbox
      • Maintaining accurate case management entries and team records
      • Supporting projects and team initiatives through logistical and administrative assistance
      • Acting as a first point of contact for the team, ensuring effective communication internally and externally
      • Ensuring all administrative tasks comply with government policies and contribute to continuous process improvement

      Your day-to-day:

      • Provide comprehensive administrative support to the Safety and Risk Management team, including coordinating of meetings, triage of email enquiries and preparing of documentation.
      • Coordinate and assist in the triage of work health and safety system and email enquiries utilising internal databases and systems. Organise and coordinate meetings with internal stakeholders and business units with preparation of agendas, taking minutes and following up of action items.
      • Assist in the data accuracy of case management entries, records, registers and electronic filing.
      • Act as the first point of contact for the team, handling email enquiries and ensure the effective communication flow within the team and the wider P&C team, internal Department employees and external stakeholders.
      • Assist with various projects and initiatives within the team, providing administrative and logistical support as needed.
      • Ensure all administrative activities comply with government policies and procedures and contribute to the development of the administrative processes within the team.

      About You:

      To be successful in this role, you will bring:

      • Previous experience in an administrative support role, ideally in government or a large organisation
      • A high level of data accuracy and understanding of WHS legislative requirements (desirable)
      • Excellent organisational and communication skills
      • A collaborative, proactive and flexible approach
      • Proficiency in Microsoft Office and experience with case management systems
      • A Certificate IV in Work Health and Safety (desirable)
