      Administrative Assistant


      LEVEL: Non-Exempt


      REPORTING RELATIONSHIP: Vice President for Strategy and Institutional Advancement

      The Administrative Assistant for Strategy and Institutional Advancement (SIA) provides essential administrative and operational support to the offices of Development, Alumni Engagement, Continuing Medical Education (CME), and Strategic Planning. This position plays a key role in maintaining constituent relationships, coordinating events and programs, managing data systems, and supporting strategic initiatives.

      ESSENTIAL JOB FUNCTIONS:

      • Provide administrative support across all areas of SIA, including Development, Alumni Engagement, CME, and Strategic Planning.
      • Maintain alumni and donor databases in Raiser’s Edge and Almabase platforms.
      • Assist with planning and execution of SIA events, including ICO Homecoming, receptions at national conferences (e.g., AOA, AAO), and CME programs.
      • Support the CME office by assisting with program accreditation processes, managing attendance certificates, and grading CEE exams.
      • Serve as a liaison to the Alumni Council, offering support for council initiatives and member communications.
      • Assist with fundraising efforts and support the Development and Data teams with donation tracking, processing, and reporting, in accordance with ICO’s Gift Management policy.
      • Supervise and coordinate SIA work-study students.
      • Perform additional duties as assigned.

      REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

      • Proficiency with social media platforms and their strategic use for engagement.
      • Experience with essential office management platforms, including: MS Office products (e.g., MS Word, Excel, etc.) Raiser’s Edge and event management software (CVENT).
      • Strong interpersonal skills; able to build and maintain effective relationships with a variety of stakeholders, including students, alumni, corporate partners, faculty, board members, and donors.
      • Excellent customer service orientation and ability to work independently with minimal supervision.
      • Exceptional attention to detail, organization, and written/verbal communication skills.
