      The Skylus Organization is seeking a detail-oriented and proactive Administrative Operations Specialist to support our growing team's operational, administrative, and HR needs. In this multi-faceted role, you will ensure efficient day-to-day operations, assist with payroll and accounting tasks, and serve as a key support resource for executives and staff.

      This position requires excellent organizational skills, adaptability, and a commitment to maintaining high standards of confidentiality, professionalism, and operational excellence.

      Given the nature of our operations in aerospace & defense, high-tech, and transportation sectors, strict adherence to security protocols and a commitment to safeguarding US export controlled and/or proprietary technologies are essential.

      The company will provide all equipment, including an iPhone and laptop. The use of personal devices in the performance of work and duties will be strictly prohibited.

      Salary Range: $65,000 to $75,000

      Additional Responsibilities

      Executive Administrative Support

      • Provide comprehensive administrative assistance to executives, including scheduling, managing calendars, and coordinating meetings.
      • Prepare, edit, and proofread correspondence, presentations, and reports with high accuracy.
      • Coordinate travel arrangements, expense reports, and logistical planning for company events.
      • Serve as the first point of contact for internal and external inquires (including visitors, calls, and inquiries), delivering exceptional customer service.

      Operations and Office Management

      • Oversee office operations, including maintaining organized filing systems (digital and physical).
      • Monitor office supply inventory and coordinate vendor orders to ensure smooth operations.
      • Assist in managing company assets, tracking usage, and coordinating maintenance.
      • Support processing and tracking of legal agreements and related documentation.
      • Maintain a professional office. Managing office supplies to ensure efficient operations.

      HR and Onboarding Support

      • Assist with new employee onboarding, including preparing paperwork, coordinating orientation, and maintaining personnel records.
      • Help manage benefits administration, employee timsheet tracking, and related HR tasks.
      • Support payroll processing by overseeing timesheet submissions and ensuring data accuracy for deductions and payments.

      Financial and Accounting Support

      • Follow company procedures to process accounts receivable and accounts payable.
      • Assist with data entry, reconciliations, and other accounting tasks as needed.
      • Collaborate with accounting teams to maintain accurate financial records.

      Other

      • Assist with planning and execution of team initiatives, company events, and special projects as assigned.
      • Work cross-functionally with departments to improve internal processes and ensure operational efficiency.
      • Perform other tasks and duties as assigned.

      Additional Qualifications

      • Bachelor's degree or equivalent experience required.
      • Prior administrative or related experience.
      • Proven experience as an administrative assistant or in a similar role.
      • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
      • Exceptional organizational and multitasking skills with a strong attention to detail.
      • Strong communication skills, both written and verbal.
      • Ability to handle sensitive information with confidentiality and professionalism.
      • Proactive, resourceful, and capable of working independently in a fast-paced environment.

      Other Preferred Qualifications

      • Ability to obtain and maintain any required security clearances.
      • Willingness to work nights or weekends during surge periods or as requested.
