      Lilly Professional Program (ASC)

      The Lilly Professional Apprenticeship Program for the Administrative Services Center (ASC) is a 13-month (fixed duration employee) program for people with limited or no relevant work experience.

      As a Lilly ASC Professional Apprentice, you will receive a combination of formal training, on-the-job learning, and mentoring in a key functional area to be equipped to compete for a Lilly position after successful completion of the apprenticeship. Upon successful completion of the program, apprentices will have the opportunity to advance their careers, including consideration for full-time positions at Lilly.

      The position has a primary focus in one or more assigned business areas but must coordinate and operate cohesively with colleagues at various levels across all business areas. This position often requires coordination with business colleagues, the administrative assistant community, internal/external business partners, and vendors. This position requires an exceptional team player who is proactive, organized, and detail oriented with a strong sense of urgency to complete tasks.

      This administrative assistant will provide support to business partners in one of Lilly’s business areas and will report to an Associate Director of the Administrative Services Center.

      RESPONSIBILITIES


      Meeting Coordination:

      • Proactively maintain daily calendars for business partners; establish good working relationships with administrators outside of the work group to maximize schedule coordination.
      • Manage meetings at various locations and of various sizes. Assist in the planning logistics by calendaring, scheduling conference rooms, setting up equipment, and ordering materials and/or catering as needed.

      Travel and Expenses:

      • Manage travel, (e.g., international, multi city travel) for business partners including (but not limited to) air, hotel, and rental car.
      • Coordinate business partners’ passport and visa for international travel.
      • Process expense reports in a timely and accurate manner including reconciliation of corporate and personal credit accounts used for business purposes.

      Additional Support/Expectations:

      • Adapt to change quickly as the ASC Leadership Team rolls out guidance and tools for streamlining administrative work, and business partner alignments are adjusted.
      • Provide direction and guidance to non-supported business partners so they can perform administrative tasks on their own (e.g., calendaring, travel, expense reporting).
      • Attend various business meetings to understand the business area and priorities.
      • Attend ASC team meetings as assigned or directed.
      • Create and edit documents, spreadsheets, and presentations.
      • Create and maintain group lists, distribution lists, databases, and collaboration sites.
      • Assist with administrative tasks in pre boarding and onboarding of new employees to the area as requested by ASC leadership and/or business partners.
      • Identify innovative techniques to increase productivity across the team.
      • Serve as a backup for other administrative assistants to meet expected deadlines or during absences from the office.
      • Handle additional administrative support or special projects as assigned by the supervisor.

      Basic Qualifications

      • High School Diploma or GED
      • Qualified candidates must be legally authorized to be employed in the United States. Lilly does not anticipate providing sponsorship for employment visa status (e.g., H-1B or TN status) for this employment position.

      Additional Skills/Preferences

      • Strong interpersonal and organization skills
      • Proficient knowledge of Microsoft programs (i.e., Word, Outlook, Teams, PowerPoint, Excel, SharePoint)
      • Ability to work independently with a high level of self-management in a dynamic work environment.
      • Excellent written and verbal communication skills.
      • Must be able to maintain confidential information.
      • Ability to adapt and change with process improvements.
      • Ability to prioritize and seek guidance when multiple and competing priorities arise.
      • Fluent in English
      • Knowledge of SharePoint collaboration site maintenance
      • Knowledge of Concur Travel and Expense Reporting

      Additional Information

      • This role has limited flexibility with most areas requiring a minimum of the majority of time on site.
