      WHO MAY APPLY: This position is open to the public. This recruitment will be used to fill several needs for temporary administrative staff. Positions will be at locations throughout King County and have unique duties.

      DURATION: This assignment is benefit-eligible and is expected to last approximately 9-12 months.

      NOTE: The background of all King County Sheriff's Office employees and applicants are thoroughly checked.       SUMMARY:
      King County Sheriff's Office has an outstanding opportunity for the position of Term-Limited Temporary (TLT) Administrative Specialist II. This classification performs a wide variety of office support and clerical duties and activities in support of an assigned department or functional area, providing a high level of customer service to the public and internal staff.
      This is an excellent opportunity to work in a fast-paced environment where you will learn various administrative duties while serving the members of the community and within the Sheriff’s Office organization.

      WORK LOCATION: Various locations throughout King County.

      WORK SCHEDULE: Typical work schedule is 40 hours per week, Monday – Friday, work to be performed in-person at the worksite. This position is overtime eligible with prior supervisor approval.

      JOB DUTIES:
      The Administrative Specialist IIs perform a series of technical office support work under supervision. The responsibilities and functions of the Term-Limited Temporary Administrative Specialist II classification may incldue:
      • Provide customer service to both internal and external customers over the telephone, in writing and/or in person on matters that may be technical, complex or sensitive in nature; inquiries include how to obtain and file a police report, how to obtain a concealed pistol license (CPL) and following up on various processes;
      • Processing CPLs, to include fingerprinting, background checks, logging information and testing new programs for the CPL database and software;
      • Compose and draft documents, and/or correspondence; prepare paperwork and files, and organizing and filing documentation for various office processes;
      • Process mail, supply order and maintenance of office equipment;
      • Organizing and filing training-related documentation and paperwork, scanning and uploading documents to an electronic system;
      • Verifying documentation and updating various electronic databases to include data entry;
      • Assist with various training-related processes including mock scenes, scheduling trainings, creating PowerPoint presentation, and basic assistance to the new recruits all under the direct supervision of the supervisor.
      • Assist with an electronic file system project to include digitization and organization of files into a new electronic system;
      • Other duties as assigned

      This position requires skill in supporting an operational department/unit with a wide variety of administrative and clerical duties. Required demonstrated qualifications include:
      • Strong communication and interpersonal skills with the ability to provide program-specific information such as rules, regulations and policies; to customers via in-person, telephone, or written communications, including greeting visitors, screening calls, scheduling meetings, directing and responding to public and internal requests.
      • Skilled in providing customer service to a diverse population, both citizens and internal employees. Provide professional written communication and excellent customer service in person and over the phone.
      • Effectively convey complex information related to rules, regulations and policies verbally and in writing.
      • Demonstrated proficiency in entering and tracking data; such as; searching, retrieving, logging and filing records from databases, electronic files and hard copy files.
      • Writing skills sufficient to compose, edit and maintain a variety of documents, reports and correspondences using correct spelling, grammar, and punctuation, with the ability to pay close attention to detail and proofread work carefully.
      • Strong initiative and accountability in tracking work assignments, prioritizing workload, adapting to changes and following through on assignments.
      • Ability to carry out assignments using standard office equipment such as personal computer, copier, fax, multi-line telephone.
      • Detailed oriented with great attention to quality and accuracy to accurately enter and track data, perform and verify mathematical calculations, sort and route mail.
      • Good keyboarding skills with experience using MS Word, MS Excel, Outlook and database applications or other relevant software.
      • Skilled in working independently with minimal guidance.
      • Strong organizational and multi-tasking skills.
      • Confidentiality; skill in working with information that is sensitive in nature.
      • Physical requirements: bending, standing and lifting for potential training-related processes

      SPECIAL REQUIREMENTS:

      • Must pass thorough background investigation, including a polygraph
      • You may need to have a vehicle to be able to drive between work locations.
