      Agency overview

      The Parliamentary Counsel’s Office (PCO) is headed by the Parliamentary Counsel and is a Public Service executive agency related to The Cabinet Office portfolio under the Government Sector Employment Act 2013. The PCO provides a comprehensive and integrated range of high-quality services for the drafting of, and access to, NSW legislation and the giving of advice and information about legislation.

      Primary purpose of the role

      The primary purpose of the role is to support the functions of the Corporate Services team. In particular administrative tasks relating to Human Resources, Finance, Communications and the wider office to facilitate the efficient and effective delivery of high quality legislative drafting and publishing services for NSW.       Key accountabilities

      • Assist with the People & Culture function of the PCO, including organising orientation packs and general onboarding and offboarding of PCO staff.
      • Assist with the Finance function of the PCO, including accounts payable/receivable, reporting and providing support to the Finance team.
      • Provide administrative support to the Corporate Services team including reception duties, light kitchen duties, planning and setting up of events and meetings, maintaining office supplies and booking travel.
      • Receive, acknowledge and distribute incoming communications to the PCO, including telephone calls, emails, mail and deliveries, and receive visitors in a professional and courteous manner.
      • Provide consistent, high quality customer service as a person of first contact for the PCO including telephone, email enquires and personal contact with internal and external staff and visitors.
      • Analyse and coordinate all correspondence (including, incoming and outgoing mail, briefings, telephone calls, diary appointments and emails as appropriate) for action, utilizing appropriate tracking systems and deadlines to ensure matters in the PCO are dealt with having regard to importance, priority and urgency.
      • Maintain records for tracking work flow, including updating LEGIS (the Office’s document management and workflow software).
      • Provide general administrative support to the office including arranging meetings and conferences, assisting with purchasing and document delivery, invoicing and providing publication support and delivery of legislation as part of a small support team on parliamentary sitting nights.

      Key challenges

      • Providing a courteous, prompt and professional service to inquiries whilst being aware of the confidentiality limitations of the PCO’s work, as detailed in the Office’s policies and procedures.
      • To manage, at times, competing work demands and varying workloads to remain productive under pressure and ensure work is completed within strict deadlines.
        Working co-operatively with other team members to manage a variety of tasks, including sharing the mix of duties.

      Essential requirements

      • Proven sound and accurate word processing/typing skills.
      • Sound language and communication skills and attention to detail for proofreading.
      • Demonstrated ability to problem solve and initiate action.
      • Demonstrated ability to work cooperatively within and across diverse work teams to support effective coordination of work.
      • Demonstrated ability to plan, prioritise and organize own work taking into account the impact on others to achieve results and meet deadlines.
      • Willingness to work in-person at the office, and at times commence work outside regular office hours on some days during Parliamentary sitting weeks.
