      The primary purpose of the Administrative Support Professional I is to provide high level executive support to the department head and leadership team in the Geosciences Department. The position reports directly to the department head and works closely with faculty, Geosciences students, as well as with other administrative support staff to help ensure the department meets its educational, operational, and strategic goals.

      Duties & Responsibilities

      High-Level Administrative Support to DH and Department: Provide administrative support to Department Head and 33+ faculty. Manage DH calendar, schedule appointments & meetings. Organize annual advisory board meeting and solicit faculty and alumni award nominations. Compose and manage department correspondence, documents, memos, and reports. Assist with special projects to support department initiatives. Write a department emergency plan. Assist with faculty recruiting searches, Academic Program Review, weekly colloquium speakers (e.g., lodging accommodations, detailed itineraries, meals, meetings with faculty and students). Organize, prepare agenda/materials, and record and take minutes at monthly faculty meetings and annual faculty retreat; Coordinate and assist with departmental administrative committee meetings; Update faculty research section of the GEOS website. Update the GEOS space occupancy report for the UA Real Estate Administration. Serve as space manager by finding suitable space(s) and coordinating office moves in a timely manner for new faculty, emeritus professors, and visiting scholars. Update DCC and key issuance user lists.

      Manage and coordinate all faculty affairs processes for 33 faculty: promotion and tenure, annual faculty performance reviews, post tenure reviews, sabbatical and leave requests, and faculty awards. Facilitate a P&T workshop presentation and materials. Conduct early career faculty mentoring meetings each semester on topics related to skills acquisition, professional development and promotion and tenure resources. Provide training to faculty and committees on the use of UA online faculty affairs systems.

      Maintenance of Room and Course Scheduling with in UAccess. Assists Associate Department Head and Sr.Academic Advisor with routing and implementation of RCM schedule. Makes revisions as directed.

      Program Coordination: Plan and coordinate the logistics for small and large-scale department-wide events, receptions, conferences, workshops, and activities for faculty, staff, students, and alumni while meeting deadlines and budget constraints (e.g., welcome and Mid semester pot luck, coffees, etc.).

      Front Office Management: Manage the daily responsibilities of a busy front office: mail, copies, FedEx shipping, key issuance, room reservations, maintain directory/gallery. Serve as key desk manager by issuing building and office keys. Serve as building manager by submitting work requests for building issues, estimates and renovations, recycling, and property loss claims. Serve as surplus property manager by submitting surplus pickup requests for UA-owned instrumentation, equipment, furniture, etc. Make visitor garage reservations for departmental guests (i.e. colloquium, Lowell Program, etc.) Greet visitors and provide customer service to all internal and external stakeholders, respond to general inquiries, and resolve problems. Train newly hired front desk staff on duties and responsibilities.

      Minimum Qualifications
      • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
      • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
