      Job summary

      West Walk Surgery have an exciting opportunity for an Administrator to join our friendly team working 16-20 hours a week.

      Days can be flexible but must be over at least 3 and include a Monday. We can work around school hours.

      To apply you must be able to work to deadlines, have strong organisation skills and show attention to detail in your work.

      As an Administrator at West Walk Surgery you will work alongside 5 other Administrators helping to ensure the smooth running of the practice.

      Main duties of the job

      Your main role will be to read, scan, code and action all documentation coming into the practice in relation to patients and in line with our set protocol for document management.

      As well as the above you will be responsible for undertaking a wide range of administrative duties and the provision of administrative support to West Walk Surgery patients and staff as per the job description.

      West Walk Surgery is a large patient focused practice, consisting of 5 GP Partners, 7 salaried GP's, Mental Health Nurse, Clinical Pharmacists, Pharmacy Technicians Paramedics, Physios, Practice Nurses and HCA's, all supported by the Reception and Admin teams.

      Job description

      Job responsibilities

      The following are the core responsibilities of the Administration Assistant. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

      a. Process incoming and outgoing mail.

      b. To read, scan, code and action all documentation coming into the Practice in relation to patients in line with the set protocol for document management.

      c. To arrange further appointments or tests as required (and within the postholders remit) that are specified from either the documentation or requested by the clinician.

      d. To report any significant events that occur in relation to document management and participate in any associated learning from incidents

      e. File and store records as required

      f. Photocopy documentation as required

      g. Searches/claims/recalls for QOF.

      h. Process changes to patient registration, deduction of record and new patient registration

      i. Input data into the patients healthcare records as necessary

      j. Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately

      k. Always maintain a clean, tidy, effective working area

      l. Support all clinical staff with general administrative tasks as requested

      m. Help us work towards an outstanding rating with CQC

      • Flexible and adaptable to cope with the breadth and pace of changes.
