Job summary
An opportunity has arisen for an Administrator to join our busy and forward-thinking practice. Grovelands is dedicated to providing safe and compassionate care to our approximately 14,000 patients. We are an Emis practice of 7 Partners, 3 Salaried GPs including Pharmacy team, Paramedics and a Nursing team together with a knowledgeable reception and admin support.
We are seeking an enthusiastic and motivated individual who has proven experience within a primary care setting and preferably proficient in the use of Docman, to undertake clinical coding of hospital/clinic and miscellaneous correspondence within the practice.
Main duties of the job
This role will include daily processing of all incoming correspondence to the surgery, received either physically or electronically by scanning and actioning as necessary using Docman, in order to maintain accurate patient medical records. The ideal candidate will be able to extract the necessary data from correspondence using workflow optimisation and input this via clinical coding using SNOMED-CT, or distribute as needed to other members of the team for action.

Job responsibilities
The Administrator (Clinical Coding) will be required to undertake the following duties;
Maintain and process all incoming and outgoing correspondences adequately and in line with practice procedures
Daily processing of incoming correspondence via post or electronically
Daily scanning of received clinical letters into Docman for processing.
Importation of electronically received clinical letters into Docman for processing.
Distributing clinic letters fairly and according to addressed clinical recipient.
Using workflow optimisation to reduce GP workload through direct processing with no clinical input of a variety of correspondence types i.e. A&E letters, referral letters, if no clinical input is required.
Ensuring all clinical correspondence is correctly filed in electronic patient records, in accordance with letter/department type and dates.
Extraction of relevant data from clinical letters for coding onto electronic patient records, using the clinical code browser to select the most clinically appropriate SNOMED-CT code.
Distribution of all received post to appropriate team members as necessary if not required for clinical coding.
Filing of received clinical correspondence in a correct manner, in accordance with practice policy.
Ensuring clinical letter actions are undertaken in a timely manner, either through distribution of actions to relevant team members, or through direct action from yourself as administrator i.e. booking an appointment or requesting a blood test

Provided in a timely and efficient way
Responsive to the needs of the patients
Working effectively & efficiently
Additional duties:
Help out in all other admin areas where your line manager identifies support is needed.
General Admin duties where the need arises.
Monitor the practice email, AccuRx online triage and action accordingly.
