Job Description
- Req#: 7616
- Provide high-level administrative support to the commercial team, customers, and partners, ensuring smooth daily operations and effective cross-functional and multi-layer communication.
- Act as the primary coordinator of schedules, timelines, and activities to support customer reception, events, visits and executive meetings on site at San Antonio to ensure a professional and smooth customer experience for SASAI Customers and guests from all over the world.
- Act as primary host for medium to long term customers and visitors on site
- Support the CALs and senior leadership team in coordinating calendars, booking trips and resources
- Develop presentations, newsletters, and other marketing material support customer, employee, site communications
- Maintaining multiple calendars and coordinating schedules to find optimal times for meetings and activities across functions or multiple stakeholders
- Procuring, acquiring, organizing suppliers related (but not limited to): customer and promotional merchandise and supplies, office supplies, office and reception area furniture, etc.
- Creating, designing, distributing newsletters for the site in support of customer, program, or senior leadership communications.
- Maintain action trackers and plans for relevant on-site activities, moves, etc. in support of the team
- Creating or adopting tools and systems to facilitate and execute administrative tasks efficiently and effectively.
- Creating, maintaining, or facilitating generation of reports, KPIs/metrics, etc.
- Handling sensitive or confidential information with highest care and respect
- Working across functions to document and generate work instructions, processes, etc.
- Hosting or facilitating on site meetings when required
- Other administrative duties as required.
- Communicating with customers, guests, and other visitors to collect information, submit for visitor authorization, and coordinating on site activities to welcome them into the facility
- Maintaining full ownership of the customer reception and working spaces, managing bookings, assignments, as well as ensuring a professional and clean space is maintained.
- Ordering and coordinating catering and other activities for customer visits
- Creating, maintaining, and distributing agendas and itinerary for visits or large meetings.
- Supporting tours and other on-site events.
- General
- Responsible for observing and reporting any issues or concerns in support of the company-wide quality, environmental and Safety Management System [SMS] policies.
- Measures relevant KPIs, and drives continuous improvement
- Carries out additional projects as assigned.
- Demonstrated attention to detail and conscientiousness
- Strong communication skills, both written and oral
- Strong planning, organizational, analytical, decision making and problem-solving skills
- Demonstrates proactiveness, self-motivated and desire for life-long learning
- Experience in using ERP and CRM systems
- Proficiency in utilizing Microsoft Office Suites, including Excel, PowerPoint, Word, Outlook, etc.
- Proficiency in using cloud-based tools to stay organized and manage schedules/ files (e.g., Box Drive, Smartsheet, Salesforce, etc.)
- This role is open to both new graduates, early career or more advance career individuals
- Degree in business, commerce, or related field preferred, or a combination of experience and education
