      Job summary

      The following post has become available within KMPT for two dynamic and self-motivated administrators with excellent organisation and administration skills. The post will support the Maidstone Liaison Psychiatry Service team in its provision of services to patients at Maidstone Hospital. The service provides mental health assessments for individuals presenting or staying in hospital. The post may provide back-up support to the other West Kent hospital site, which may require occasional travel to Tunbridge Wells Hospital. This role does not involve patient contact.

      Main duties of the job

      • Provide comprehensive admin support to the team/service.
      • Support the team manager with staffing and booking NHSP bank/agency staff.
      • Provide support with caseload management.
      • Order and maintain stock of office supplies.
      • Replenish forms/leaflets/documents in the office.
      • Keep accurate and up to date service data records.
      • Collate and send agendas and other meeting papers and take and produce meeting minutes.
      • Use the Trust systems to record and check patient information.
      • Assist the team manager with monitoring the team's training compliance.
      • Update and maintain information resources in the office.
      • Be able to work under pressure and to specified deadlines.
      • Implement policies as directed by the Trust/directorate, ensuring awareness throughout the team.
      • Work with and alongside other administrators.
      • Other duties as assigned.

      To work closely with the team managers and administrator to provide a high level of administration support to the team. To monitor the team caseload to ensure all mandatory documentation has been completed. To monitor various data sources to ensure accuracy. To collate and record information required by the service. To support with meeting agendas, invites and minutes. To ensure resources and supplies for the team are replenished and ordered in a timely manner. To monitor Business Intelligence reports for performance compliance and highlight and rectify any errors. To use the RIO system to discharge patients and upload required documents. To support the team/service with pilots, projects and audits. To assist with recording of NHSP shifts and work with team mangers on staffing levels and covering shifts. To answer telephone calls and take messages or divert to the relevant person.
