- The Aircraft Scheduler/Dispatcher coordinates and assists with in-house and supporting agency activities associated with planning, scheduling, dispatching, and monitoring of Company aircraft flights and trips to expedite their completion with ultimate safety and in compliance with company policies and applicable government rules and regulations.
- Represent the Director of Aviation in the dispatch of flights to ensure that they can be conducted with the highest degree of safety and efficiency, in compliance with Company policies and applicable regulations.
- Monitor the progress of flights and provide assistance to maximize the safety of flight and operational efficiency.
- Ensure that the flight following function is conducted in compliance with applicable Company policies and all international, federal, state, and local guidelines, rules, and regulations.
- Maintain a log of flight movements and irregularities. Monitor crew flight time limitations.
- Monitor operations control reference material for completeness and currency and revise and update as required.
- Arrange for coordinated service and handling requirements to expedite flight movement.
- Coordinate, schedule and plan all domestic and international flight movements.
- Monitor, review for completeness and accuracy, collate and file or distribute as appropriate all trip records in accordance with Company reporting and audit compliance requirements.
- Obtain clearances, authorizations and visas appropriate to international flight operations.
- Maintain the currency of critical flight planning data (Jeppesen, Flight Clearances Guide, TripPlanning.biz)
- Conduct preliminary international flight planning, including coordinating routes/technical stops, with the assigned captain.
- Monitor, review for completeness and accuracy, collate and file or distribute as appropriate all trip records in accordance with Company reporting and audit compliance requirements.
- Prepare or assist in preparing periodic operations reports and summaries.
- Communicate and coordinate flight scheduling and itinerary development with C-Suite Administrative Assistants and trip managers.
- Notify appropriate authorities in the event of irregularities, accident or incidents in compliance with company and government regulations.
- Obtain and assess quotes for aircraft charter.
- Assume other assignments as tasked by of the Director of Aviation and the Manager/Supervisor or Flight Operations.
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
- 5-8+ years of aircraft Scheduling & Dispatching experience globally is required
- Demonstrated applicable previous experience in the scheduling / dispatch function in international flight operations with either an established flight-planning and support vendor, an FAR Part 91 corporate operator or an FAR Part 135 charter operator a plus
- FAA Dispatchers license preferred
- Proven capability in Microsoft Word, Excel, Power Point, and One Note as well as a standard industry aircraft scheduling software (TripPlanning.biz preferred)
- Work a variable schedule to support 24 / 7 operations, including nights, weekends, and holidays, as needed
- Bachelors/University degree or equivalent experience
The Aircraft Scheduler & Dispatcher is a seasoned professional role based in White Plains / West Harrison, NY.
This role applies in-depth disciplinary knowledge, contributing to the development of new techniques and the improvement of processes and work-flow for the area or function. Integrates subject matter and industry expertise within a defined area. Requires in-depth understanding of how areas collectively integrate within the sub-function as well as coordinate and contribute to the objectives of the function and overall business. Evaluates moderately complex and variable issues with substantial potential impact, where development of an approach/taking of an action involves weighing various alternatives and balancing potentially conflicting situations using multiple sources of information. Requires good analytical skills in order to filter, prioritize and validate potentially complex and dynamic material from multiple sources. Excellent communication and diplomacy skills are required. Regularly assumes informal/formal leadership role within teams. Involved in coaching and training of new recruits Significant impact in terms of project size, geography, etc. by influencing decisions through advice, counsel and/or facilitating services to others in area of specialization. Work and performance of all teams in the area are directly affected by the performance of the individual.
