      Job Summary:

      The Alumni Relations Coordinator builds meaningful relationships with Ontario Tech Alumni and leads in the development, coordination and evaluation of Alumni engagement programs and services designed to strengthen the Ontario Tech Alumni experience and their connection to their alma mater. The coordinator is also responsible for planning and implementing effective alumni-focused fundraising programs and supporting donor development and cultivation

      Nature of work:

      • Reports to the Director, Alumni and Donor Engagement - Advancement and Alumni.
      • Travel within the GTA; however, some out of town travel is required for events and conferences
      • Cubicle work station with regular exposure to background noises
      • Some evening and weekend work required

      Responsibilities/accountabilities:

      1. Fund Development:

      • Develops, implements and evaluates alumni fundraising strategies to promote giving and donor development programs directed toward Ontario Tech alumni through the development of creative short-, medium- and long-term strategies.
      • Cultivates and stewards’ key stakeholders to increase contributions (time, talent, influence and resources).
      • Identifies and coordinates affinity partnership programs and sponsorship of alumni programs and services.

      2. Resource Coordination:

      • Coordinates the Alumni Relations priorities in an efficient manner to advance the university’s goals, as well as thestrategic direction of the Alumni Association (AA). Develops the annual Alumni Relations office budget and the Alumni Association budget in conjunction with the AA Council and the Director of Alumni and Donor Engagement.
      • Recruits key volunteers and organizes volunteer activities.
      • Plans and maintains accurate alumni records (includes Banner information transfer and report generation and uploads to Raiser’s Edge).
      • Administers all activities of the Alumni Association (AGM, Awards, monthly Council meetings).

      3. Project Coordination and Support:

      • Plans and actively supports all aspects (including timelines and budgets) of class homecomings, chapter activities, global alumni day, etc.
      • Coordinates all aspects of alumni benefits (affinity programs), programs, services and activities including developing, and evaluating all communication and promotional materials.
      • Works with students to develop activities that will ensure student involvement with the Alumni Association before graduation, e.g., Graduating Class Challenge.
      • Leads the initiatives to recognize alumni contributions and achievements, e.g., Alumni awards, dinners, etc.

      4. Relationship/Leadership Coordination:

      • Serves as the principal university liaison with the Alumni Association Council
      • Provides administrative support and preparation of materials for regular meetings, including AGM as secretary to the Alumni Association Council.
      • Provide leadership, mentorship, and support for the Alumni Association that includes recruitment of new members, defining responsibilities, creating job descriptions, planning meetings and enhancing the visibility of the Alumni Association.
      • Provides leadership for the Alumni mentorship program.
      • Represents the university at Alumni events.
      • Maintains regular contact with faculties and departments and work closely with campus groups, alumni groups, volunteers and the Alumni Association in planning and implementing activities, services and program of interest and benefit to Ontario Tech alumni.
      • Engages faculties and departments in identifying and connecting with “lost” alumni.
      • Remains current in alumni program/services to research, recommend and implement new initiatives and revenue-generating programs.

      5. Communications Coordination:

      • Develops and evaluates a yearly Alumni Engagement Communications plan and reports on communications metrics.
      • Informs and involves alumni through digital newsletter, web, and social media channels.
      • Serves as managing editor and content coordinator for above identified channels and print publications in collaboration with C+M department and web designer. Implements various alumni focused promotional opportunities throughout the year, e.g., Convocation Alumni Alley, Affinity partnerships.
      • Prepares reports and presentations for Alumni Association to present to the university Board of Governors and Board committees.

      Required Skills:

      • Strong computer skills, proficient in Microsoft Office suitability to learn new programs
      • Demonstrated ability to develop, implement and evaluate program and communications plans
      • Excellent organizational skills and a proven ability to manage competing priorities to meet established goals

      Required Education:

      • A minimum completion of a university program consisting of four academic years
      • Event management and Programing certification preferred

      * Verification of Academic credentials may be required

      Required Experience:

      • Minimum 3 to 5 years of relevant experience
      • Experience working with volunteers and collaborating with internal and external constituents to deliver programs.
