Job Description

- Coordinate the PMO budgeting process across all capital projects on a monthly, quarterly, and annual basis.
- Collaboration with Finance and PMO Director as well as Project Managers and Project Leads to ensure their budgeting needs are met and reflected in their individual budget and resource sheets.
- Support transition of budgeting process to D365 once live and continued enhancement and support within the Smartsheet application to organically improve the existing process.
- Maintain and enhance the Smartsheet Control Center administrative workspace under the direction of the Senior Director and PMO Director.
- Maintain and ensure quality assurance and consistency in the execution and use of control center across the Transformation office and CRC projects that leverage the tool.
- Manage intake requests and provisioning and archiving of projects within the application.
- Primary responsibility is to ensure consistency and quality of individual operational planning sheets across planning groups i.e. naming conventions, data quality, etc.
- Ensure Data Mesh is setup and maintained regularly.
- Audit data quality regularly to spot inconsistencies and/or improve quality of planning.
- Support lessons learnt, enhancements and change requests in a timely manner.
- Oversee risk management coordination across the Transformation Office portfolio under the direction of the Senior Director.
- Create an Integrated Transformation Office Risk Smartsheet ‘master sheet’ that leverages Data Mesh to collect all risks from each individual capital project individual workspace risk registers and area of responsibility i.e., change management etc. to provide cross portfolio risk analysis and visibility.
- Responsible to align with Enterprise risks tracked by the Transformation Office.
- Coordinate training and development activities under the direction of the Senior Director Transformation Office. May be directly related to the Transformation Office and/or enterprise-wide Digital Transformation support.
- Lead and Coordinate ‘Coaching Ourselves’ within the Transformation Office.
- Partner with external vendors/partners and/or Learning & Development for training design, development and coordination where required.
- Minimum qualifications for this position are a Post-secondary, business administration, project management or an equivalent combination of education and experience.
- Strong verbal and written communications skills in English are essential, French is an asset.
- Strong planning and organizing skills.
- Demonstrated ability to be flexible, be pro-active, and adjust to shifting priorities and deadlines.
- Familiarity with Jira, Smartsheet and/or other project management software.
- Demonstrated ability to create and edit project documents, materials, and presentations.
- Ability to work well within a team – sharing information as appropriate, respectfully, while being approachable.
- Ability to analyze, research, organize and prioritize work and meet multiple deadlines.
- Ability to handle confidential information with discretion.
- Data Analytics and Business Intelligence skills to enable us to make efficient and effective decisions that improve our services and enhance performance of our teams.
- Excellent interpersonal communication skills and experience in contributing to diverse teams is critical.
