      About the Role:

      A highly organized and proactive Office Assistant to support daily operations and ensure the smooth functioning of our Basel office. The Office Assistant will be responsible for a variety of administrative tasks, office organisation, and providing direct support to staff and management.

      Your Contributions (include, but are not limited to):

      • Manage incoming and outgoing correspondence, including emails, phone calls, mail and packages

      • Maintain and update company records, databases and filing systems for our Swiss affiliate (both electronic and physical)

      • Schedule and coordinate meetings, appointments, meeting rooms and travel arrangements for both Swiss and UK based teams

      • Ensure the office is well-maintained, organised and fully stocked with supplies by ordering and managing inventory of office supplies, equipment and stationery

      • Assist with the organisation and execution of company events and staff meetings

      • Greet and assist visitors, clients and employees in a professional and friendly manner

      • Assist with onboarding new employees, including office orientation

      • Support the EU Office Manager in administrative tasks, meeting organization and UK/EU related activities as appropriated

      • Provide backup support to other administrative staff when necessary

      • Handle special projects assigned by management

      • Other duties as assigned

      Requirements:

      • High School Diploma and 2 years of general office experience and/or related experience

      • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

      • Familiarity with office equipment (printers, scanners, fax machines

      • Fluency in English and German is required. Knowledge of French or any other European language highly recommended

      • Strong communication skills (verbal and written)

      • Ability to work in a fast-paced environment

      • Great problem solving skills

      • Excellent organisational and time-management abilities

      • Strong administrative skills, attention to detail and accuracy in tasks

      • Ability to multitask and prioritise workload efficiently

      • Ability to work independently and collaboratively as part of a team

      • Ability to regularly travel to the UK

      • Holds and maintain a valid driving license

      • Uses established skills to perform a range of daily operations

      • Applies understanding of company policies and procedures to complete assigned tasks

      • Understands how own area contributes to the achievement of objectives

      • Office presence 4 days/week
