      Butterfly Floral and Event Design is one of the leading luxury event floral and design companies in Los Angeles and beyond. Our team is dedicated to executing innovative, stunning event design by devoting boundless creativity to our clients' special celebrations.


      This role will be full-time reporting to, and assisting, the creative director of Butterfly Floral and Event Design, Inc. This assistant will also be present as needed at installs of event décor and florals throughout the Southern California area.

      Knowledge of flower types is not a requirement. Event planning/production and event design experience is required.


      Responsibilities:

      · Support Creative Director with various administrative and operational tasks

      · Attend floral consultation meetings between Creative Director and Clients

      - During consultations, take notes on all aspects of Clients' event, including logistics, floor plan, color scheme, design aesthetic, rental needs, and quantities of items needed, and maintain notes in an organized fashion

      · Create and convey reminders to Creative Director about important aspects and deadlines of each client's event

      · Create and update floor plans (using AllSeated) for events throughout life cycle of event production process.

      · Create and update inspiration boards for clients in PowerPoint, Canva, or other relevant software

      · Update and manage sales proposals throughout lifecycle of the sale

      · Create - or oversee creation of - renderings and sketches for event designs

      · Research rental items needed for events

      · Place orders for rental items with our vendor partners and update quantities/items for as needed throughout lifecycle of event

      · Perform final check/confirmations of rental orders prior to event

      · Maintain details/changes in logistics, quantities, and other key details of events and communicate said changes to clients' event planner (or client) on continuous basis

      · Research and source décor (such as printed goods, vases/hard goods, custom fabrications, custom printed items, and backdrops)

      · Assist with listing quantities and types of flowers required for each event

      · Collaborate with production team in executing wholesale orders of décor and flowers

      · Work with team to implement full production audit of each event – confirming key details such as load in times and locations, final timing of events, logistical issues at venues, sourcing insurance certificates, etc.

      · Assist Creative Director in communicating design concepts and other key design specifications to floral production team

      · Oversee event installations (includes evening/weekend hours)

      · Create or assist in creating thorough, visual-heavy proposals for clients, and update as needed

      · Source, organize, and post photos and content on social media channels

      · Other duties as delegated

      Candidate Requirements and Qualifications:

      • Candidate must have minimum 1 year of experience creating design boards on PowerPoint or similar software
      • 1+ years' experience in event production (assisting event planners, coordinating events, and/or floral and event design builds and installs) is required.
      • Team Player
      • AllSeated experience a plus
      • Experience with sketching and rendering software a plus.
      • Intermediate or advanced knowledge of MS Office and Adobe PDF is required, particularly PowerPoint (and/or Keynote).
      • Organized, detail-oriented self-starter comfortable working in fast-paced atmosphere


      Physical Demands and Work Environment

      • Assistant will need to oversee and/or assist installations of event design at various venues and locations throughout SoCal and possibly beyond.
      • Some work will be on the weekends and/or evenings, when our clients' events take place.

      This role will be based at our studio in Los Angeles. This role may necessitate lifting of items of up to approximately twenty-five pounds.
