      Job Summary:

      The Office of the Registrar at SUNY Downstate Health Sciences University is seeking a full-time Associate College Registrar. The successful candidate will:

      • Serve as the Registrar in the absence of the Registrar.
      • Assist with the management of the operational, administrative and personnel aspects of the Office of the Registrar.
      • Assist the Registrar in providing leadership in the daily operations of the office, and to provide a service-oriented office to students, faculty, staff, external office visitors and agencies.
      • Assist in the development of policies and procedures related to student enrollment, registration, academic policies and student records.
      • Implement policies and procedures approved by the faculty.
      • Supervise all aspects of the maintenance, accuracy and confidentiality of all student academic records.
      • Maintain and continue to develop the student information system for the Office of the Registrar.
      • Develop guidelines for data integrity checking and maintenance.
      • Oversee semester grading processing, transcript issuance, licensure from completion and all document processing.
      • Supervise the semester online registration for all colleges.
      • Oversee new student in-person registrations.
      • Implement and improve registration procedures and systems.
      • Oversee distribution of accurate student lists, composite photos and class rosters in conjunction with the Document Imaging Coordinator, develop and implement procedures for day-to-day document imaging to progress to a paperless environment.
      • Manage, coordinate and implement third and fourth-year medical student course selection (i.e. selection of clerkship sequences, hospital sites, and elective courses).
      • Oversee all aspects of compiling the third and fourth-year medical student course catalog (i.e. course selection book), including verification with faculty of course offerings the creation of a new elective (fourth-year medical student course).
      • Serves as a liaison with the faculty committee for approval of new electives.
      • Assist with the maintenance of the Office of the Registrar website, including reviewing content and updating, and posting relevant, timely information.

      Required Qualifications:

      • Bachelor’s Degree in a related field and work experience at a level that equates to the advanced degree.
      • 3+ years of progressively responsible experience in Registrar’s Office or relevant college administrative office.

      Preferred Qualifications:

      • Master’s Degree in Higher Education, Information Systems or an area relevant to the position preferred.
      • Experience working with Banner or PeopleSoft preferred.

      Work Schedule:

      Monday to Friday; 9:00am to 5:00pm

      Salary Grade/Rank:

      SL-4

      S alary Range:

      Commensurate with experience and qualifications
