Assist with the planning and execution of the Event Marketing portfolio

Project manage website updates including timelines, testing and approvals

Responsible for project managing event marketing collateral
-
Research and engage with vendors to receive quotes on services for the event, based on the Foundation’s procurement policy, as well as review, summarize and make recommendations on vendors based on RFPs/RFQs
-
Create support documents that will be used for both internal and external presentations (e.g., PowerPoint, Excel, scaled site maps)

Deliver rolling updates on the status of tasks during weekly team meetings

Ideate with team on creative ways to deliver a compelling event donor journey

Review current processes and recommend changes to existing event procedures, to ensure execution is streamlined and uniform

Support and cultivate relationships with vendors, including managing all SOWs, scheduling regular meetings between the vendors and the event marketing team for project updates as needed

Collaborate with vendors to source items and pricing, ensure timing and stock, and place bulk orders. Place fulfilment orders, ensuring accuracy in order details and identify cost efficiencies where possible

Work collaboratively with various Foundation t eams to build strong relationships to ensure a successful outcome of the event

Oversee the post-event reconciliation of events, inputting expenses into event budgets, as well as crosschecking of reconciled event budgets with Foundation P&L reports

Onboard new staff on event platforms and be a subject matter expert and main point of contact for any issues

Seek and test new products and technologies, identifying ways to optimize the user experience on our website platforms

Participate in the post-event debrief with the Event Marketing team

Des cription of the Position:
The Associate, Event Marketing will support in the planning and execution of the event marketing portfolio, including but not limited to: The Million Reasons Run, Great Cycle Challenge, Extra Life, and Scrubs in the City. The Associate will report to the Associate Director, Event Marketing and will support the project management of the event marketing portfolio. They will play a key role in delivering a compelling donor journey to culminate in donor loyalty, stakeholder satisfaction and drive fundraising revenue.
