Job Description

Provide overall administrative support for the Finance department, by assisting with general office functions including: phone support, ordering and managing office supplies/pantry inventory for the department, escorting guests, organizing fire safety drills, picking up and distributing physical mail for the department.
Support key Finance leaders in the administration in complex meetings and presentations.
Assist in scheduling, travel arrangements, meeting preparation, and archive management for the Finance department.
Submit and track requisitions, expense reports and P-Card transactions for departmental managers as needed, in addition to ensuring that office equipment/technology are well-maintained.
Support a wide variety of employee engagement and support initiatives for the Finance team, including internal staff events, holiday parties, fiscal year-end gatherings, and other events.
Assist in the administration of Finance Department meetings and communications.
Other related duties as assigned.
Bachelors degree or equivalent experience.
Experience using financial system like Workday.
Excellent organizational skills, detail oriented, and ability to manage multiple tasks simultaneously in a busy, fast-paced environment.
Demonstrated experience using discretion when handling sensitive information.
Demonstrated customer service experience.
Demonstrated experience in Microsoft Word, Outlook, PowerPoint, and Excel with willingness to learn new computer programs.
Demonstrated capacity to work in a collaborative, hybrid team environment.
Pay Range: $33 - $34/hour

GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
You will provide administrative support to the Finance Office, in collaboration with members of the Finance Department, to ensure an efficient and successful operation of the department. This position will report directly to the Senior Administrator for the Chief Operating Officer, Chief Financial Officer, and Treasurer. They will be responsible to support the administrative needs of the Finance team, help serve as a key point-of-contact within the department, act as the department’s CLG representative and Procurement Ambassador, and assist in P-Card and Travel & Expense matters for departmental managers as needed.

Location Requirements
At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
