- Manage the Transformation Office calendar and leaders’ daily schedules
- Organize T&E, including air, hotel, restaurant reservations as well as expense report tracking and submission for the Head of Transformation
- Schedule meetings/conference calls and manage invites, conference rooms, security, tech needs, food, travel, etc. for the Transformation Office
- Greet arriving guests and ensure a timely start to group meetings, with tech setup
- Plan key business outings and events such as department meetings, leadership gatherings, talent reviews and volunteer events on an ad hoc basis, including partnering with cross- functional teams
- Manage the tracking and ordering of supplies as needed
- Assist with setting up relevant IT/HR program trainings and/or team representation to share back with the team
- Respond to emails, copy and print materials as needed for meetings, including driving follow up action items
- Track ongoing assignments and status with each business leader regularly
- Interim owner of charitable contributions work including:
- Processing all incoming requests to Charitable Contributions Committee for further processing or declined involvement. Manage all approved corporate membership relationships
- Collaborating with Creative, Watches & Fine Jewelry, and Fashion Teams to select advertisements and/or auction items for approved corporate charity events

- This role is considered Partially Remote: Role requires a minimum of three days in-person office presence at the designated location/office
- Bachelor’s degree or equivalent professional experience
- A candidate with a minimum of 2 years of prior corporate experience and/or relevant internship experience
- Understanding of luxury brand environment, a plus
- The anticipated base salary range for this position is $27- $40/ hour. Base salary is one component of the total compensation for this position. Other forms of variable pay may be offered for this position. Other components will include bonus potential, benefits, and/or perks.

About the role:
The Transformation team services internal clients across all business divisions. This is a fast-paced team with a high volume of long- and short-term projects, in a rapidly changing environment.
The position is responsible for administrative duties to support the entire team – including but not limited to the Head of Transformation and primary business leaders.
The ideal candidate must excel at time management, possess effective organizational abilities and be a clear communicator and creative problem solver. Ease with quantitative analysis such as budget management, reconciliation and accurate invoice processing is desired.
The candidate must be able to handle multiple projects and deadlines at the same time, manage assignments from four key stakeholders simultaneously and be capable of representing the team to external contacts and internal stakeholders.
Although the position’s core responsibilities are administrative, there are opportunities for this role to support project management, communications and presentation development and reporting – as long as core duties are fulfilled.
