      Job Summary:

      Our Access Control - Customer Service position is a part of the state classification of Administrative Assistant II, this position provides programmatic and administrative support to internal and external customers of the Auraria Campus regarding the maintenance, operations and construction functions of the Facilities Services Department related to access control. This role assists with Millennium Access Control System for the work unit and department including but not limited to interfacing with customers by phone and e-mail relating to access control issues and requesting access changes; assisting with system updates, testing, system programming, data entry and tracking of electronic access, reporting and entry of and updates to department schedules for all buildings. They will also assist the supervisor to ensure all labor and material charges are entered into the TMA work order system. They assist the work unit supervisor and other members of the unit with hard keys and electronic keys creation, distribution and tracking. A core responsibility of this role is delivering exemplary customer service to students, faculty, and staff of the Auraria Campus—an essential function that directly supports the campus community’s success and satisfaction.

      Essential Job Functions: Administrative Support:
      • Primary contact and responder for phone calls and e-mails from campus customers related to access control issues with badges and readers.
      • Multitasking by answering incoming calls, encoding cards, supporting contractors and internal customers from Facilities at the Access Control encoding window.
      • Provide exemplary customer service to all internal and external customers including contractors.
      • Provides assistance to the Work Unit Supervisor with data entry, reconciliation, access control fee for service requests, and project requests.
      • Assists work unit supervisor with daily paperwork/TMA work order entries for the work unit.
      • Assists work unit supervisor and work unit staff with documenting and tracking distributed, returned and stored keys on campus.
      • Assists work unit supervisor with yearly shop special initiatives.
      • Enters data and records as needed into the TMA work order system for the work unit and daily time record for daily activities.
      Access Control Programming and Troubleshooting Badge Issues:
      • Assists Work Unit Supervisor with providing technical information to internal and external customers regarding door scheduling, card encoding and all areas of the Millennium Access Control System.
      • Enters and maintains system data, access groups, access levels and system requirements to meet the needs of the campus.
      • Enters, corrects and retrieves history reports for usage by departments enabling them to better utilize classroom space and functionality.
      • Works directly with Institution Departments to schedule special events in buildings
      • Updates departmental excel matrices as needed; these enable each department to control access to spaces within the departments, consisting of labs, classrooms, office, conference rooms and secured spaces.
      • Assists supervisor with implementing system upgrades and modifications.
      • Assists supervisor with service providers and IT on all system upgrades and modifications.
      • Assists supervisor with troubleshooting and programing new system elements to ensure proper operation, setup and maintenance.
      • Assists supervisor with required system testing.
      • Participates in the testing, assists in the test planning and documents all results of testing for future reference and record.
      • Continually improves knowledge of system and stays current with system enhancements and developments to ensure our system stay current. Recommends enhancements for consideration to supervisor.
      • Works on an on-call basis to assist with troubleshooting, granting access and door scheduling ongoing as needed.

      Maintain Electronic Key Box:
      • Maintain the Morse Watchman key box system used for overnight key storage for employees and contractors.
      • Gather information from users for the Auraria Campus Key Box Agreement; determine if an Auraria Campus Access Control Contractor ID is required and grant access through the Millennium Access Control System.
      • Open Morse Watchman’s Key Pro III to establish user ID, first name, last name, level, restrictions, pin number and key ring number.
      • Add user to the Morse Watchman’s Inc. Key Pro III database using information on Agreement provided on the agreement including key ring number, pin number and user ID number.
      Physical Key Management:
      • Enters Staff, Students and Faculty into the key tracking system for all key requests. Verifies with each department each semester that users are authorized for each department. Assist with key distribution when needed.
      Emergency Response, Facilities Services Support Other Duties:
      • Performs duties as assigned by the Access Control Supervisor, or other Facilities Team Management to include but not limited to snow removal, emergency clean ups, completing access control work requests, field assistance when needed, and participate in after-hours access control system testing and after-hour emergency call back requests.
      Minimum Qualifications:
      • Two (2) years of experience in a professional setting involving security systems, Microsoft Excel, data entry, customer service, telephone communication, Microsoft Outlook, Word documents, general office administration, and report generation.
      OR
      • A combination of education and relevant experience may be substituted for the minimum qualifications on a year-for-year basis.
      Preferred Qualifications:
      • Access Control software knowledge
      • Experience in secure environments
      • Strong Customer Service background
