- Receive & process referrals.
- Process discharge paperwork & update system accordingly
- Type all letters for the team.
- Book appointments on patient record system/ update case notes on patient record system as required.
- Take minutes at team meetings & transcribe accurately.
- Answer telephone calls & relay messages in timely manner.
- General admin tasks, i.e., typing/copying/scanning/printing/laminating etc.
- Provide support to team members in setting up rooms for meetings.
- Check & book rooms for other team members.
- Receive/respond/forward emails in appropriate manner.
- Monitor & raise purchase requisitions for stationary/supplies/services such as interpreters for the team.
- Arrange clinic appointments.
- NVQ Level 3/RSA Level 3 or equivalent experience
- Ability to work alongside other professionals/engage in integrated working to deliver high quality care and services
- Experience working in administration and using appropriate IT
- Experience working with members of the public both face to face and on the telephone
- Understanding of medical terminology
- Knowledge of SystmOne
- Shorthand/Speedwriting
- Work in an NHS / healthcare setting
- NVQ Level 3/RSA Level 3 or equivalent experience

Job summary
An opportunity for a permanent Full-time Administrators to join our friendly and supportive team. We are looking for a conscientious and reliable person to work as Team Administrator at Woking Community Mental Health Recovery Service.
The post holder will be responsible for the provision of a high quality administrative and secretarial service to the multidisciplinary team. You will need to have good organisational and interpersonal skills, an eye for detail and experience in a busy office environment. We are looking for a person who is hard working, flexible and able to prioritise their work.
The post includes general office duties consisting of inputting patient details on electronic record system (SystmOne), supporting clinical staff, filing, photocopying, sorting post, scanning and uploading documents, liaising with patients, GPs and medics, Stationary & clinical supplies, meeting notes, dealing with enquiries by email and letter, telephone and typing letters. The successful candidate will have excellent clerical and typing skills and be able to communicate effectively with both patients and staff.
