Job Description

Ensure 100% plan and company compliance
Verify appointments prior to trip setting per plan requirements
Obtain all pertinent prior authorization forms from the health plan(s) for approval/denial of request
Ensure lodging and airfare purchases are made with MTM preferred partners or other reputable vendors that will provide the highest value and cost effectiveness
Ensure procurement of travel services by company credit card follow PCI compliance guidelines
Obtain, complete, and distribute credit card authorization as needed for lodging procurement
Manage the storage and accessibility of invoices related to all travel procurement
Negotiate discounts with new hotels, set up direct bills, and ensure incidentals are deactivated when applicable
Complete all data entries in Link and Reveal as they relate to lodging, meals, GMR, and airfare booking requests
Serve as the Member’s personal “Travel Agent,” booking travel accommodations, relaying itineraries, changes, delays, and cancellations with Member, case manager or social worker
Create transportation requests, as needed, for travel accommodations to and from airport/appointment/hotel
Per plan requirements, compare cost effectiveness of charitable housing vs traditional lodging
Ensure accuracy when entering data into the appropriate systems (Link, Reveal, etc.)
Ensure all pertinent documentation is saved in the appropriate health plan folder(s)
Regular attendance is required
Other duties as assigned
High School Diploma or G.E.D. equivalent
Minimum 6 months customer service experience
Fluent in both English and Spanish languages
Ability to manage multiple projects simultaneously
Outstanding interpersonal communication
Negotiation skills
Working knowledge of the travel industry
Attention to detail
Understanding of MTM’s travel policies and regulations
Sound judgment, problem solving skills and has the ability to make decisions on their own
Ability to be available for travel emergencies and urgent requests
Ability to maintain and manage vendor relationships
Travel booking software knowledge

What will your job look like?
The Bi-Lingual Member Travel Agent is responsible for sourcing, organizing, booking, tracking, and handling member travel requests for all plans. This role will ensure that all travel needs are met within the constraints of the plan/program and budget. The Bi-Lingual Member Travel Agent is required to have knowledge of commonly used concepts, software, practices, and procedures within the customer service and hospitality fields, and rely on instructions and preestablished plan and guidelines to perform the functions of the job.
Location: Remote (hybrid schedule of 2 days a week if within 40 miles of an MTM office).
