      Job Description

      As Business Travel Coordinator, you'll play a vital operational and communicative role within the Business Support Community. You'll be the go-to person for day-to-day travel requests, planning, and support, ensuring compliance with our Global Travel Policy and delivering exceptional service to travelers and internal stakeholders. You will work closely with the Travel Manager/ Travel Procurement team to make sure business travel runs smoothly within Rituals.

      Key Responsibilities

      • Monitor and manage the Business Travel inbox, responding to inquiries from employees, managers, and local HR offices (LHOs)
      • Support colleagues with travel planning, pricing, group bookings, payments, and documentation
      • Coordinate traveler profiles and account setups in our travel tool (e.g. Egencia)
      • Deliver training and workshops for new travelers and bookers
      • Ensure proper approval flows and cost checks are in place
      • Handle visa requests and liaise with relevant authorities or agencies
      • Maintain alignment with Rituals’ Global Travel Policy and support its enforcement
      • Research and suggest new suppliers or partners to enhance service and cost-efficiency
      • Provide operational support to ensure all documents and procedures are correctly followed
      • Actively support the integration and learning curve for tools such as Coupa and Workday

      Qualifications

      • Proven experience in corporate travel coordination, hospitality, or customer relations (experience with travel agencies is a strong plus)
      • Strong customer care orientation and a passion for helping others
      • Excellent communication skills (both written and verbal) in English; other languages are a plus
      • A hands-on, problem-solving mindset – you act fast and stay calm under pressure
      • Highly organized, structured, and able to manage multiple priorities
      • A critical thinker with an eye for improvement and optimization opportunities
      • Basic understanding of financial processes (e.g., invoicing, purchase orders)
      • Commitment to delivering high-quality service in every interaction
      • Interest in sustainable travel solutions and a proactive mindset toward environmental impact
