      POSITION SUMMARY:

      Provides assistance in the purchase of goods and services in accordance with applicable laws, rules, regulations, and policy of Clayton County Public School District, the State of Georgia, and the federal government. Data entry, processing of purchase orders, filing. This position reports to the Director of Purchasing.

      KEY RESPONSIBILITIES:

      Reviews all district purchase orders to ensure appropriate supporting documentation is attached prior to submitting for purchasing’s signature.

      Reviews requisitions for the purchase of materials, supplies, equipment, and services; ensures purchases are in compliance with Board purchasing policy and procedures; enters all purchase requests for the Warehouse.

      Provide customer service and training to administrators, vendors, Accounts Payable department and other school Districts personnel. Assist with quarterly training classes for bookkeepers on purchasing procedures. Participates in the annual “How to do Business with CCPS” Purchasing Conference. Assists the Purchasing Department as needed.

      Process purchase orders once approved by the Purchasing department by either faxing, emailing, or mailing the purchase order.

      File purchase orders, enter bid information for bid tabulations, type vendor correspondence.

      All other duties, as assigned and required, in order to perform the above services.

      KEY JOB REQUIREMENTS:

      High School Diploma or GED required

      Minimum (2) years’ experience in an administrative field

      Requires District coordination; makes recommendations, which affect the District students and employees; Quality products and services delivered on time to the schools/department.

      Determining supporting documentation needed for purchases; when to cancel or delete a purchase order.

      Requires regular, frequent contact with internal and external personnel of influence and decision-making responsibility to discuss issues of moderate importance. Excellent interpersonal skills are required for working with inter-organizational teams.

      Normal office setting May require moderate travel across the District with occasional travel for off-site training.


      Light duty - On most occasions sitting at a desk or table; intermittently sitting, standing, or stooping Light lifting or carrying 20 lbs. or less

      NOTE: This is a grade 22, 225-day position that pays for experience up to a Step 4.
