      Job Title: Administrator (Care Home)

      Location: Richmond Villages Cheltenham, Hatherley Lane, Cheltenham, Gloucestershire, GL51 6PN

      Salary range: £11.85 per hour - Paid breaks

      Contract: Permanent

      Shift Pattern: The work schedule is 35 hours per week, Monday through Friday, with 8-hour shifts starting at 09:00. There is flexibility for an earlier start if desired.

      In the role of Administration, you will provide vital administrative support to both the Care Home and the Head of Care. Your responsibilities will encompass overseeing the care home's daily diary to ensure the delivery of professional and efficient services consistently. You will be the front-of-house support for a 60-bed care home, handling phone calls and customer interactions with care. Additionally, you will aid the Care Home Manager by managing a variety of administrative duties, including the rota system, archiving, processing admission contracts, composing letters, recording minutes, and other related tasks.

      You can expect a thorough induction to help you settle into your new role, followed by continuous training and development opportunities, including apprenticeships. Additionally, you'll have access to our online portal, which offers a range of resources for personal development and free access to LinkedIn's online learning platform.

      You’ll help us make health happen by:

      • Maintaining DoLs applications - tracking progress and chasing applications as required.
      • Entering incidents, accidents, complaints and compliments on the Datix system.
      • Ordering relevant supplies, maintaining an accurate inventory of all medical equipment and ensuring adequate stock levels at all times, including stationary, paperwork forms and all relevant documentation.
      • Updating and maintaining all relevant systems and electronic files, including the rota for payroll and agency staff hours.
      • Following Head of Care or Village Manager approval, you’ll process the booking of agency workers, ensuring accurate information on all workers is obtained.
      • Supporting with funding applications and care home enquiries, ensuring the relevant systems are updated accordingly.
      • Assisting with telephone handling, including taking enquiries from residents, staff and visitors, acting as a receptionist to the Care Home as required.
      • Supporting residents with external medical/health appointments, ensuring transport is booked where required.
      • Dealing with residents’ post, ensuring the correct authorisation is obtained.

      Because we care for vulnerable people, we’ll need you to complete a DBS check as part of the recruitment process. Bupa will cover the cost of this (£40).

      Key Skills / Qualifications needed for this role:

      Experience in a care home setting is beneficial. Your prior office experience has rendered you adept in Microsoft Office, especially Word and Excel. You demonstrate both friendliness and professionalism in person and via phone. As an organized and cooperative team player, your dedication and efficiency in work ethic equip you to excel in a dynamic environment and manage a diverse workload.
