During the school year, shifts are mostly weekdays during the day, with a regular evening shift on Wednesdays and occasional evenings or weekends as needed.
In the summer, hours shift to primarily early mornings and evenings, with some weekend availability required.
- Responsible for the successful delivery of events while managing event process which may include executing client meetings, preparing event details, monitoring event budgets and sourcing external resources if required.
- Collaborate with other required departments when planning and executing an event and ensure timely completion of all event components as per client’s requirements.
- Work with Executive Chef and the client to determine a proper menu for each event.
- Coordinate menu planning meetings as required with all relevant parties.
- Be available to clients at all times during their events while observing and managing key service components of events.
- Responsible for coordinating non-food supplies required for each event, including but not limited to linens, staffing agencies, equipment rental companies and florists.
- Responsible for coordinating the layout for the event space according to the client’s requirements and health & safety requirements.
- Ensuring health and safety regulations are strictly observed by all staff working during set-up for events and event day.
- Keeping financial and administrative records of any changes that may affect the final billing for each event.
- Manage and schedule a team of 15 part time employees
- Tracking of catering revenues and labour hours to control costs and ensure profitability of each event
- Updating KPI’s on weekly basis
- Responsible for bookkeeping of the account including accounts payable to ensure all vendor invoices are accurate and paid in a timely mannerEnsuring that the payroll is accurate on a weekly basis
- Entering inventory accurately on a weekly basis
- Ensuring that any new items are entered and that pack sizes and pricing are updated regularly as required.
- Post-secondary diploma required; preference for post-secondary degree, in a related field, preferably Hospitality and/or Event Planning.
- Minimum of 3-5 years’ experience in planning and executing events in a medium to large scale events
- The ability to work well independently on several projects concurrently, and possess excellent communication, organizational and creative thinking skills.
- Focus on maximizing revenue consistent with providing the client with value and exceptional service.
- Software proficiency in Microsoft Word, Excel, Power Point, is required; knowledge and experience in the event management booking software is preferred.
- Strong initiative and hospitality orientation; Project Management, organizational and prioritizing skills; problem solving and detail oriented.
