- Serve as a primary point of contact for incoming catering inquiries, ensuring each client receives prompt, professional, and friendly service that reflects the standards of Hyatt Lodge Oak Brook.
- Support the Catering Team by assisting in coordinating event logistics, preparing contracts and Banquet Event Orders (BEOs), tracking deadlines, and maintaining effective communication across departments.
- Partner with the group rooms coordinator to help manage wedding room blocks, assist with client billing, and ensure all event details are accurate and clearly communicated to internal teams.
- Attend and contribute to weekly operational meetings to ensure flawless execution of events and group bookings.
- Build strong relationships with internal teams (banquets, culinary, front office, etc.) to ensure client expectations are exceeded.
- Learn and utilize key systems Envision to support the sales and catering process.
- Gain foundational knowledge in hotel food & beverage offerings, meeting space capabilities, AV equipment, and event design to better support client needs.
- Support event execution through clear communication with clients and operational departments, from initial inquiry through post-event follow-up.
- Exhibit excellent time management, strong attention to detail, and organizational skills to manage multiple events and administrative tasks simultaneously.
- Assist and support the Catering Managers with day-to-day needs, including preparing tasting materials, coordinating menus, and help facilitate wedding tastings and walkthroughs for couples and clients.
- Bachelor's degree in Hospitality Management or related field preferred
- Previous experience in event planning or catering coordination
- Strong organizational and time management skills
- Excellent interpersonal and communication abilities
- Detail-oriented with a focus on delivering high-quality experiences
- Proficiency in event management software and Microsoft Office Suite
- Ability to work in a fast-paced, deadline-driven environment
- Flexibility to work evenings, weekends, and holidays as required
