      Summary of Primary Function/General Purpose of Position

      Central Check-In Clerk greets patients and visitors and registers patients for physician appointments in Epic. Staff are responsible for collecting demographic and insurance information and making the appropriate changes at time of visit, collecting copays and outstanding balances, scanning insurance cards and photo ids, and directs the patient and family to appointments. Also is responsible for completing Workers Compensation for the facility backing up completion of FMLA and disability forms for all providers in the Defiance region including all satellite locations. Serves as a back-up for Central Check-In and FMLA and Disability Forms as needed.

      Essential Job Functions

      • Completes all aspects of the Registration of a patient in Epic. Responsibilities include gathering and verifying patient demographics, patient contacts, primary care provider, email address, employer, ethnicity, marital Status, language, communication preferences, establishing guarantor accounts, loading and verifying insurance information. When in a back-up role for coverage, follows the Central Check-In job description and essential job functions.
      • Collects an electronic “Consent to Treat” annually.
      • Scanning of any registration documents as insurance card(s), photo id(s), guardianship documents.
      • Verifies insurance eligibility via Real Time Eligibility Process and verifies response to ensure coverage effective dates are currently loaded in the system and copay amounts owed are indicated appropriately in the patient coverage record.
      • Completes the Medicare Secondary Payer Questionnaire (MSPQ) on appropriate patients.
      • Collection of patient copayments at time of service and payments on account via cash, echeck, credit card with focus on individual performance of Copay and POS Collection Metrics determined for our Market.
      • Schedules walk in patients for Occupational Health, Injection Department & Optical Shop.
      • Collection of patient payments for optical supplies—glasses and contact lenses and any other retail optical purchases and posts them into Compulink EyeCare.
      • Daily deposit and balancing of all payments made for optical supply purchases in Compulink.
      • Daily balancing and closing of “Cash Drawer” in EPIC 1. Maintains $250 in their cash drawer at all times 2. Knowledge of the OneSource website & credit card transactions 3. Daily balancing of payments posted to monies received, reported by daily Cash Drawer Closing Reports.
      • Verifies insurance coverage and registration of night and weekend Urgent Care visits and makes the appropriate changes as necessary to ensure visits are filed correctly to insurance.
      • Back-up of Disability/FMLA Duties: 1. Completes all necessary information such as diagnosis and dates disability 2. Gets proper authorization from the patient to release information 3. Acquires physician’s signature on forms-Mails or faxes form to appropriate person or company or contacts the patient to pick up the form.
      • Worker’s Comp: 1. Faxes medical documentation and BWC forms to the appropriate MCO or employer. 2. Completes C9 BWC forms and notifies the provider when patients are authorized for requested treatment(s).

      Employment Qualifications

      Education Qualifications -

      Required Minimum Education: High School Diploma or GED

      Preferred Education: 2 Year/ Associates Degree in a healthcare related field

      1 year of experience with patient registration.
