      Chief Operating Officer

      • Lead, Manage and Hold Accountable Patient Facing Teams
        • Recruit, hire, onboard, train and coach subordinates including Directors, Managers, Supervisors, and line workers across relevant Teams:
          • Clinic Assistance
          • DME / Supplies
          • Imaging (X-Ray and MRI)
          • Administration (Scheduling, Medical Records, Front Desk, Risk Management and Executive/Administrative Assistance)
        • Approve PTO, payroll, and manage staffing budget to minimize overtime.
        • Conduct 1-to-1 Feedback Sessions, performance reviews, and weekly and quarterly team meetings.
        • Develop and maintain playbooks, processes, and protocols, as approved.
        • Identify and assign KPIs,
          • Develop benchmarks/goals and create accountability systems for attainment.
        • Identify Issues and propose solutions.
        • Conduct weekly and quarterly meetings with direct reports and teams.
        • Ensure that processes are documented and followed by all.
      • Budgeting
        • Coordinate with physicians, senior management, and direct reports on physician- and department-specific budgets.
        • Work with CFO and President to develop and justify budgets.
        • Ensure that costs are contained with respect to the budget and provides commentary and justification.
      • Midlevel Administrative Management
        • Act as liaison between physician, company, and midlevel providers.
        • Perform annual performance and compensation reviews for midlevel providers.
        • Work with physicians to coordinate new midlevel hires.
        • Manage goals, budgets, and bonus compensation.
      • Interdepartmental Coordination
        • Discuss denial trends with billing and management personal and create systems for compliance and accountability.
      • Negotiate Supplier and Vendor Costs
        • Maintain relationships and ensuring that vendors follow company policies and procedures.
        • Regularly assess opportunities for cost savings and coordinate annual re-bids.
        • Manage GPO relationships and evaluate options for cost savings.
        • Evaluate new DME products as needed or requested.
      • Maintain Facilities & Equipment
        • Coordinate management and maintenance of physical locations and clinical equipment.
        • Negotiate contracts and provide recommendations to President and Board of Directors.
        • Manage vendor relationship and contracts including but not limited to lessors, property managers, third party representatives, and construction and maintenance contractors.
        • Ensure that physical plant and clinical equipment are in working order and that issues are appropriately escalated and managed in relation to severity and importance.
      • Maintain Logs and Reports
        • Develop and provide periodic reports for areas of accountability.
        • Develop activity reports for areas under supervision.
        • Work with vendors and company personnel to obtain key data from electronic systems.
      • Other Projects and Tasks
        • Report to president/Chief Executive Officer, Board of Directors, and Physicians as requested.
        • Assist with new facility start up planning.
        • Procure office furniture & supplies.
        • Procure medical equipment.
        • Procure DME & medical supplies.

      • Attend and contribute to meetings as requested.
      • Perform all other tasks and projects assigned by administration or physicians.

      Qualifications


      Experience:

      Required:

      • Five (5) years of progressive and relevant experience in a medical office setting.
      • Five (5) years of personnel supervisory experience.
      • Two (2) years of Inventory management and EHR software applications.

      Education:

      Required:

      • High school diploma or equivalent required.
      • Bachelor’s Degree health care area of study or commensurate experience coupled with ability to pass competency examinations.

      Preferred:

      • Master’s degree in business administration, Healthcare Management, or related field of study.
      • Registered nurse or other related professional license or technical certificate.

      Special Qualifications:

      Required:

      • Ability to develop and follow policies, procedures, and regulations.
      • Experience, judgment, ingenuity and communication skills necessary to solve critical problems and execute on solutions.
      • Possess working knowledge of insurance billing and credentialing requirements.
      • Possess requisite computer skills and software knowledge necessary to efficiently and effectively operate MS Office Suite and Electronic Health Records and Practice Management systems.
      • Ability to organize, prioritize, work independently or as part of a team.
      • Pleasant demeanor and professional appearance.
      • Possess strong communication skills and ability to handle performance issues with personnel.
      • Possess ability, confidence, presentation and communication skills to communicate complex issues with executive stakeholders including physicians.
      • Ability to handle patient elevated patient concerns and resolve issues.
      • Ability to identify Key Performance Indicators (KPIs) and aggregate data, populate reports and provide insight into performance.
      • Ability to communicate with and coach personnel in team settings and one-on-one settings.
      • Experience with Risk Management including HIPAA, OSHA, and FLSA.
      • As this position may require travel for offsite delivery, a valid unrestricted driver’s license.
        Preferred:
      • eClinicalWorks experience.
      • Breg Vision experience.
      • Orthopedic coding fundamentals and requirements across commercial and government payors.
      • Understanding of clinical patient flow and business considerations in orthopedic medical practice.
