Job Description

- Answers telephone and greets the public, provides accurate program information, convey messages, and participate in the affective resolution of problems and complaints.
- Utilizes and accesses the State of Colorado’s database to follow and record next court date information and decipher disposition information for program enrollment. Performs complex clerical tasks: compiles, verifies, and maintains records on the Division’s automated computer system. May process invoices and purchase orders associated with the programs operating out the Community Justice Service Department.
- Maintains and is responsible for receiving and recording program fees associated with Pretrial Release Supervision, In-home Detention, DCMOP and Community Service programs. Maintains an accurate account of the Division’s petty cash.
- Interprets minute orders to accurately assess and setup pretrial release, DCMOP, community service and in-home detention clientele on the Division’s automated computer system. Prepares physical files and initial paperwork for CJS Officers.
- Receives referrals from the District/County courts, Probation Officers, and other criminal justice entities for defendants who are court ordered to complete community service hours. Interviews, screens, and places defendants in appropriate nonprofit agencies to complete their community service hours.
- Maintains a caseload monitoring client performance with referral agency and prepares written reports indicating the client’s compliance or noncompliance with the Useful Public Service / Alternative Services program. May assist Community Justice Services Officers with a variety of caseload management responsibilities.
- May have increased responsibilities in case management and resolving system related problems and procedures.
- Other duties as assigned, including: Respond to clients/community members requesting assistance in the front lobby. Participate in team meetings, trainings, outside meetings, and audits as requested.
- High school diploma or GED required. An associate degree in a discipline that relates to the responsibilities assigned is preferred.
- Two years of criminal justice experience preferred.
- All prior administrative experience will be considered.
- A combination of education and experience may be considered.
- Bilingual in Spanish at an advanced level is preferred.
- Read and comprehend department, rules, regulations, policies, and standard operating procedures.
- General office practices and procedures.
- Basic principles, practices, and objectives as related to correctional services and programs.
- Community resources and agencies pertinent to the client population.
- Emergency procedures including how to respond to crisis situations.
- Principles, practices, and objectives as related to case management and planning.
- Effective collection, analysis, and presentation of statistical and technical data.
- Accurate preparation of legal forms and case files.
- Strong customer service skills, with emphasis on educating others regarding complex concepts, de-escalating sensitive situations, and demonstrating empathy.
- Mathematical skills needed to analyze, understand, and explain financial case elements
- Organization and time management skills such that work is completed efficiently and timely.
- Expert operation of standard office equipment: computer, multi-line phone system, copiers, scanners
- Advanced typewriting skills.
- Advanced skills with Microsoft Office Suite, including Word, Excel, and Outlook.
- Cash handling and associate record keeping.
- Must be able to think broadly and critically; analyzing a situation or case facts to make an independent decision.
- Ability to follow semi-complex oral and written instructions.
- Verbal and written ability to communicate information thoroughly and effectively.
- Ability to establish and maintain effective working relationships.
- Ability to maintain confidentiality and discretion.
- Communicate clearly and concisely, both verbally and in writing.
- Must be a Notary Public or obtain certification within 30 days of hire.
- This position requires successful completion of a criminal background check including fingerprinting through a national database.

This position is designed to support various functions throughout the Community Justice Services Department.
Generally, the hiring range is $38,261-$47,826 annually. Qualifications, education and experience as it relates to the position will be taken into consideration when determining hiring salary. *updated for 2023 pay ranges

ESSENTIAL DUTIES AND RESPONSIBILITIES: (The following examples are illustrative only and are not intended to be all inclusive.)SUPERVISION RECEIVED: This position is under the guidance of a CJS Division Manager and reports directly to our CJS Supervisor. Works under general supervision with frequent review/audit of work.
SUPERVISORY RESPONSIBILITIES: None.
INDEPENDENT JUDGMENT: This position requires a level of independent judgment regarding the daily tasks of file management, case management guidance, program assessment, and general assistance within the criminal justice field.

Physical Work Environment: Work is generally performed in a typical office environment with close and frequent contact with the public and staff members.
Physical Demands: The nature of work is primarily sedentary. Most of the workday is spent at a computer, looking at a screen requiring close vision. While performing the duties of the job, the employee is occasionally required to stand, walk, sit, talk, hear, and reach with hands and arms.
Material and Equipment Directly Used: Daily work includes use of a computer (laptop or desktop), mouse, keyboard, headset, multi-line phone system. Work may include general use of office equipment such as: telephones, copiers, scanners, mail machines and audio/visual equipment.
