- To provide secretarial and clerical duties for the Associate Director of Pharmacy - Weston and other members of the pharmacy team. To include letter writing, filing, receipt of incoming mail and processing outgoing mail.
- To record staff annual leave and sickness on digital database.
- Support the senior management team by arranging interviews, booking rooms and provide supporting paperwork for the attendance management process.
- To monitor mandatory training completion for all pharmacy staff, book staff onto refresher training courses as required, inform staff of upcoming courses, requirement to complete eLearning and certification expiration dates.
- To organise meeting venues, circulate agenda, minutes and papers for the Outpatients Contract Review Group.
- To provide clerical support to the Operations lead e.g. invoice and delivery note processing, raise invoices with respect to income generation for Pharmacy services provided to Weston Hospice and any other clerical duties as necessary.
- To provide clerical support for the senior management team
- To extract drug use data from CMM, Lloyds Outpatients invoice and ePACT on a monthly basis and upload onto Trust drug database, Define and IMS systems.
- To order Pharmacy supplies using hospital computerised ordering systems and processing all relevant documentation.
- To ensure outstanding orders are followed up and dealt with efficiently.
- Good computer/IT skills including knowledge of Microsoft Office applications particularly excel spreadsheets
- Ability to work in a team and with other staff groupings in hospital
- Ability to prioritise one's own work load
- Good keyboard skills with the ability to update information quickly and accurately
- Understanding the importance of confidentiality and data protection issues in a healthcare environment
- Knowledge of routine office procedures i.e. incoming post, taking and relaying messages, using office equipment such as photocopiers, computers, fax etc
- Secretarial/ administration experience within a Pharmacy
- Experience of data manipulation within excel spreadsheets
- Good standard of general education including English Language and Mathematics at GCSE Grade C or above or equivalent
- Recognised word-processing/typing qualification to RSA II, NVQ II Level or demonstrable experience at this level
- Good computer/IT skills including knowledge of Microsoft Office applications particularly excel spreadsheets

Job summary
An exciting opportunity has arisen for a highly motivated, competent and enthusiastic individual to join our small, friendly and progressive inpatient pharmacy department at Weston General Hospital.
We are looking for a Clerical Officer to undertake secretarial and administrative duties for the pharmacy team and upload data to a number of digital databases. This is a permanent, part time position and does not include weekend or bank holiday working.
Applicants must possess good computer skills and knowledge of Microsoft office systems particularly excel spreadsheets and have excellent communication and organisational skills.
