      The City of Danbury is announcing an opening for the position of Clerk Typist-Part-time

      Statement of Duties The employee is responsible for providing clerical support for the City of Danbury Airport. Work includes, but is not limited to, data entry, simple spreadsheets, simple mail merges, receiving and responding to inquiries, answering phones, and providing administrative support to staff. Employee is required to type minutes for quarterly meetings. Employee is required to perform all similar or related duties.

      Supervision Required: Employee works under the general supervision of the Airport Administrator. The employee is familiar with the work routine and uses initiative in carrying out recurring assignments independently with specific instruction. The supervisor provides additional, specific instruction for new, difficult or unusual assignments, including suggested work methods. The employee is expected to recognize instances which are out of the ordinary and which do not fall within existing instructions; in such cases, the employee is expected to seek advice and further instructions. Reviews and checks of the employee’s work are applied to an extent sufficient to keep the supervisor aware of progress, and to insure that completed work and methods used are technically accurate and that instructions are being followed.

      Supervisory Responsibility: Employee is not required to regularly supervise any employees.

      Confidentiality: Employee has regular access to confidential information of the department such as department records.

      Accountability: Consequences of errors or poor judgment may include missed deadlines, and adverse public relations.

      Judgment: Well defined or detailed rules, instructions and procedures cover all aspects of work. Judgment involves choosing the appropriate practices, procedures, regulations or guidelines to apply in each case.

      Complexity: Work consists of routine or repetitive tasks and/or operations with few variations in established procedures.

      Work Environment: Employee performs work in a public office setting subject to frequent interruptions. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant.

      Nature and Purpose of Relationships: Relationships are primarily with co-workers and the public involving frequent explanation, discussion or interpretation of practices, procedures, regulations or guidelines in order to render services, or resolve operating problems. Extraordinary courtesy, tact and diplomacy may be required to resolve complaints or deal with uncooperative or uninformed persons.

      Occupational Risk: Essential functions of the job present little potential for physical injury to the employee. Risk exposure is similar to that found in a municipal office setting.

      Essential Functions:

      1. Interacts with the general public in person, via telephone, mail and e-mail and provides customer service regarding department services and procedures.
      2. Receives callers, ascertains their business and directs them to appropriate staff members.
      3. Performs a variety of clerical duties for the department including, but not limited to: data entry, generating letters, responding to routine requests for files, making copies, filing, answering phones, preparing correspondence, screening calls, operating office equipment, sorting and distributing mail.
      4. Provides clerical support to the Airport as assigned
      5. Performs other related tasks as assigned.

      Minimum Qualifications:

      Education and Experience: Must have a High School diploma, or equivalent and two-three (2-3)years of experience in customer service and clerical work.

      Special Requirements: None required.

      Knowledge, Abilities and Skills Required:

      Knowledge: Demonstrated proficiency in using modern office computer programs (MS Office, city proprietary software and the like) and equipment including: multi-function copiers, fax machines, database management software, scheduling/accounting software, word processing software.

      Abilities: Plan and prioritize work, and perform multiple tasks. Ability to follow written and oral instructions in a detailed and organized manner. Ability to effectively deal with members of the public who may, at times, be difficult or disgruntled. Ability to manage multiple tasks in a detailed and organized manner.

      Skills: Proficient customer service skills and attention to detail. Proficient written and oral communication skills. Proficient keyboarding skills.

      Physical and Mental Requirements:

      The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the position’s essential functions.

      Physical Skills: Little or no physical demands are required to perform the work. Work effort principally involves sitting for extended periods of time in order to perform work tasks, with intermittent periods of stooping, kneeling, twisting, walking, and standing. The employee is required to lift, push, or pull objects such as records, books, office paper, and department office equipment.

      Motor Skills: Position requires the application of basic motor skills to reach, pull or push objects, to bend, twist and kneels in order to perform activities including but not limited to operating a personal computer and/or most other office equipment, operating a telephone, personal computer keyboarding, and filing of papers.

      Visual Skills: The employee is constantly required to read documents and reports for general understanding and routinely for analytical purposes. The employee is rarely required to determine color differences.
