      JOB SUMMARY

      Provide Center for Well-Being (CWB) with administrative, clerical, and triage support necessary to ensure safe,

      accurate and efficient operation of Health Services, Counseling and Psychological Services, and Heath Promotion, Resilience, and Violence Prevention programming. To assist the Director of Operations with administrative support for the smooth and efficient management of the CWB.

      ESSENTIAL FUNCTIONS

      • Daily Operations
        • Reception/Check-in/Customer Service: Welcome visitors to the Center for Well-Being, checking them in for appointments or directing them to the program they are attending. Provide professional service that ensures respectful client/patient experience for all entering the CWB. Help facilitate efficient flow through steps of internal processes.
        • Scheduling: Create, change or cancel client/patient appointments using Electronic Health Records. This includes understanding clinician schedules and skill sets and verifying identity of clients/patients.
        • Primary Phones: Answer main phone line for CWB and address caller’s needs including scheduling or forwarding to appropriate CWB resource. Document telephone encounters when required by CWB processes.
        • Shared emails: Check incoming email and efficiently respond or forward to most appropriate CWB resource.
        • Triage: Ascertain urgency of client/patient issues and determine immediate needs (e.g., mental health crisis, urgent health care need). Provide initial crisis intervention (assess situation, calm the person down, offer alternatives) and reach out to required CWB professional to address urgent need (e.g., crisis counselor, nurse, etc.).
        • Data Entry: Ensure all required documentation is obtained and verified at time of check-in for client/patient appointment. Manage input of demographic info into electronic health record (EHR), ensuring accuracy and HIPAA privacy/security compliance. Scan documentation into EHR.
      • Partner Area Administrative Support
        • Develop monthly scheduling templates for Health Services providers.
        • Provide administrative support for partner area meetings, including scheduling, booking space, and taking minutes.
        • Order office supplies as needed per partner area.
        • Reconcile purchasing card(s) as needed per partner area.
        • Provide administrative support for standardized test administration.
        • Provide administrative support for events and all-staff meetings.
      • Graduate Assistant Supervision
        • Assign front desk tasks to Graduate Assistant (front desk coverage, scheduling, scanning, lunch coverage, etc.) and answer any questions related to day-to-day operations
        • Coordinate special administrative projects for Graduate Assistant with other CWB staff as needed.
        • Escalate any staffing issues that require attention to Operations Director.
      • Other Administrative Tasks as Assigned

      QUALIFICATIONS

      Minimum Qualifications

      • High School diploma or the equivalent
      • Three years of administrative support experience working in a comparable fast-paced, independent work setting

      Preferred Qualifications

      • Bachelor’s degree
      • Experience working in a mental health clinic or medical setting
