      Job Summary



      Summary: The CMMS Administrator Support Specialist plays a vital role in supporting on-site teams with Computerized Maintenance Management System (CMMS) compliance, standardization, and the implementation of best practices. This position acts as a backup CMMS Coordinator, providing key support in maintaining the efficiency and accuracy of maintenance management processes. Provides direction for activities related to the administration, personnel, physical plant, information systems, office management and safety for the assigned work location.


      Key Responsibilities:

      Respond promptly to phone calls and emails, providing assistance and guidance on CMMS-related queries and escalate them when necessary. Add new users, assign appropriate access levels in the CMMS, and train team members to ensure they are proficient in using the system.
      Assist with invoicing, billing, and purchase order processes to ensure accuracy and timely completion.
      Maintain compliance documents related to OSHA, EPA, and other regulatory standards. Continually monitor and update compliance documents in the CMMS, ensuring all sites adhere to regulations.
      Monitor Key Performance Indicators (KPIs) through reports and collaborate with supervisors. Oversee the preventative maintenance schedules and create or update procedures and tasks as needed
      Create and manage work orders as needed, following the established flow chart process, and monitor and support the deferred maintenance program in alignment with Best Practices.
      Perform other duties as assigned to support the goals and mission of the organization.


      Preferred Qualifications:

      Administrative support experience preferably in facilities maintenance support services
      Proficient in using CMMS software. Maintenance Connection Preferred
      Experience with data analysis and report generation is preferred.
      Excellent written and verbal communication skills
      Computer skills and knowledge of MS Office products, including Word, Excel, PowerPoint, Outlook, and the internet.
