      Department Summary

      The UCLA Film & Television Archive’s Collection Services unit accessions, identifies, inventories, inspects, repairs, preps, triages, stores, protects, and traffics the movement of all film, video, and archival media within the Archive. In doing so, it supports the Archive’s mission to develop, organize, preserve, and ensure the safekeeping of its collection while providing access to scholars and the community. The unit’s staff work in close coordination with the other Archives’ units to plan and facilitate projects, serving in response to Archive needs and emerging technology, research, and developments in the archival community. UCLA Film & Television Archive, a department of the UCLA Library, collects moving images as works of art and as social and historical documents, restores and preserves moving images for current and future generations, curates collections, programs and events using moving images to advance knowledge, and provides access to moving images for purposes of research education and enjoyment. The Archive’s collection consists of over 500,000 holdings dating from the dawn of cinema to the present and covers a broad spectrum of content from major Hollywood studio films and network television shows to independent productions and news footage.
      Position Summary

      Under the direction of the FTVA Head of Collection Services, the Collection Health Coordinator is responsible for activities related to assessing the health of the Archive's over half a million moving image materials. The Collection Health Coordinator performs acetate deterioration (AD) assessment of collection items by pulling, testing, and inspecting items suspected of having AD before preparing them for long-term storage. The Collection Health Coordinator participates in mold remediation for items flagged as having mold contamination, coordinating with the Archive's Curators to establish the uniqueness of the items, assessing the level of mold contamination, and determining whether remediation is the best option.

      Qualifications

    • Operational experience in a moving image archive, film library, or similar organization. (Required)
    • Experience with data entry into software programs including Google Sheets, Word, Excel, and FileMaker Pro. (Required)
    • Experience with accepted techniques for the proper handling, inspection, and repair of archival media materials. (Required)
    • Experience handling audiovisual materials showing signs of deterioration. (Required)
    • 1. Knowledge of media materials and formats sufficient to determine physical description and condition of items in the collections. (Required)
    • 2. Ability to work independently and follow through on assignments with minimal direction. (Required)
    • 3. Skill in analyzing information, situations, practices and procedures in order to: define an objective, identify relevant concerns or needs, formulate logical and objective conclusions, recognize alternatives and their implications. (Required)
    • 4. Skill in prioritizing assignments to complete work in a timely manner when there are: changes in assignments, impending deadlines, competing requirements, heavy workload. (Required)
    • 5. Skill in operating personal computers in a Windows environment, and familiarity with standard work processing and database management programs (especially Word, Excel, and FileMaker Pro). (Required)
    • 6. Skill in writing concise, logical correspondence and internal reports, including business letters, brief memoranda, and operating policies and procedures. (Required)
    • 7. Knowledge of moving image and/or television history and research methodologies. (Required)
    • 8. Working knowledge of outside safety and security agencies, their services, roles and responsibilities, sufficient to conform Archive operations to mandatory regulations and implement desirable safety and security guidelines. (Required)
    • 9. Detailed knowledge of the Archive’s policies and procedures to insure the safety of personnel and security of the collections at the Archive’s vaults. (Preferred)
    • 10. Working knowledge of and ability to use the Archive’s catalogs, index files and records pertaining to the Archive’s collections, including the online public access catalog, Ex Libris Alma, and in-house relational databases such as the Processing Database and Paging System. (Preferred)
    • 11. Detailed knowledge of the general policies and procedures of the UCLA Film and Television Archive as they affect the Archive’s Collection Services operation. (Preferred)

    • Bachelor's Degree Graduation from college with specialization in the discipline involved or an equivalent combination of education and experience, and knowledge and abilities essential to the successful performance. (Required)
