Job Summary
The Communication & Design Specialist assists with the design, development and implementation of integrated communication strategies in the Faculty of Dentistry.
Organizational Status
The Communication & Design Specialist will work in close consultation with the Senior Manager, Communications and the Assistant Dean of Development and Alumni. They will also work closely with staff, faculty, and other internal and external stakeholders.
Work PerformedGraphic Design:
- Designs print and digital materials, including event invitations, digital signage, social media graphics, posters, postcards, reports, brochures, presentations, and various other promotional assets in line with the UBC Dentistry brand and with attention to audience needs;
- Co-ordinates with printers and vendors;
- Develops templates that help accelerate production and unify the look and feel of communications materials.Website Administration:
- Updates content on the Dentistry website (dentistry.ubc.ca);
- Produces website analytics and usability reports that support decision-making and evaluation; delivers technical enhancements and training where required;
- Ensures the online presence adheres to UBC communications and brand standards.Writing:
- Researches, writes and/or coordinates web and social content for student, staff, and faculty audiences, including, but not limited to, profiles, announcements and stories;
- Performs research and fact-checking analysis.Content Development and Internal Communications:
- Creates content for social media channels, including photography, illustrations, video clips, and blog posts, as aligned with wider communication initiatives and campaigns;
- Monitors and responds to comments on social media channels;
- Produces analytical reports to inform decision-making;
- Curates relevant and existing content from partner channels and groups;
- Co-ordinates the distribution of promotional materials across the faculty in print and digital formats;
- Organizes and manages digital assets.Communications Support:
- Supports the Senior Manager, Communications with communication efforts including coordinating project activities and documentation, tracking tasks, timelines, and resources;
- Develops communication plans and toolkits as assigned and coordinates workflow amongst communication project contributors to meet deadlines;
- May represent the Faculty of Dentistry in committees and/or forums;
- Coordinates and publishes editorial and event calendars.Photography/Video:
- Co-ordinates and/or produces photography and video content as needed and identified in communication plans. May engage and work with campus partners to produce such content.Email Marketing:
- Creates internal and external newsletters, including media recaps, by writing and soliciting content internally and from campus-wide partners;
- Designs and updates templates and produces analytical reports to inform decision-making.Event Support:
- Responsible for assisting with events, including event promotional materials, logistics, vendors, and day-of event setup and delivery. May attend events after regular hours as needed.Performs other related duties as required.

Supervision Received
Reports to and takes direction for day-to-day operations from the Senior Manager, Communications. The position works autonomously under general guidelines.

May assign tasks and provide guidance to student employees as needed.
Preferred QualificationsUndergraduate degree in a relevant discipline. Experience in communications, graphic design, digital media, marketing, journalism and/or public relations preferred. Minimum of four years experience or the equivalent combination of education and experience. Professional experience in a post-secondary institution or similar environment is a strong asset.
Skills:
- Strong interpersonal, oral and written communication skills.
- Ability to adapt writing styles for different audiences and purposes.
- Exceptional writing abilities, translating complex information for a general audience in concise, efficient, and engaging copy.
- Ability to communicate effectively by composing correspondence, reports, presentations, and other written materials using clear concise business English.
- Demonstrated experience working with social media and websites in an organizational/corporate environment.
- Experience using content management systems (WordPress).- Experience with CyberImpact (or similar platform) and HTML.
- Demonstrated graphic design ability using Adobe Creative Cloud suite, specifically InDesign, Illustrator and Photoshop.- Experience with Asana (or similar project management tools)
- Understanding of current digital, social media, and content marketing trends.
- Strong technical know-how or willingness to learn some or all of the following: photography, video, and video-editing.
- Strong problem-solving and critical thinking skills.
- Ability to work with diverse individuals in a complex setting.
- Strong project management and organizational skills.
- Knowledge and experience working in a brand environment, with an understanding of visual design principles.
- Experience with social media monitoring and management, website analytics, and data visualization tools.
- Ability to exercise tact and diplomacy when working with confidential and sensitive information.
- Ability to be service-oriented and to function productively in diverse and multi-disciplinary project teams.
- Accuracy and attention to detail and an ability to work independently and assess own performance.
- Maintains excellent rapport with the university community as well as external stakeholders.
- Exercises good judgment and maturity in all communications.
