This position is an essential team member of the Salem Police Communications & Chief’s Executive Support Office. The team is looking for an individual ready to positively contribute to the success of public communications and engagement efforts. You can contribute to the department’s strategic communications and engagement initiatives by applying your writing skills and effective, organizational planning talents. In this confidential role, you can put into practice your report-writing, research, and analytical abilities to further support the work of the Chief’s Office.
Insight into Key Responsibilities
Communicate: Create, Innovate, and Engage
Communications creativity. Assist the strategic initiatives manager in developing ideas and creating communications campaigns to educate and engage the public. Prepare effective, written content and related visuals for social media and internal messaging using new media design software to create visuals, infographics, presentations, and fliers. Use your knowledge of the suite of Microsoft Office 365 products to advance the department’s internal communication needs.
Communications on the web. Maintain the department’s web pages and review, revise, and approve content submitted, emphasizing communication clarity through content comprehension, attention to detail, grammar, and spelling. Curate pages with a user-friendly appeal by applying relevant imagery and helpful, accurate links; upload media releases and create news stories. Provide upkeep and assistance for the department’s internal SharePoint communications page. Design functional forms, polls, and surveys.
Customer service expertise. Assist with providing informative and skillful responses to questions from customers, staff, and officials; explain technical information in a simplified manner for ease of understanding. When necessary, provide a referral to the appropriate staff person, either within the department, another City of Salem department, or other service providers. Work with the strategic initiatives manager to assess sensitive and complex inquiries for appropriate needs.
Strategic & Administrative Support
Analysis, research, writing, and review. Assist the strategic initiatives manager with the department’s strategic plan to ensure proper coordination within the department’s various divisions and sections; analyze and evaluate content and create measures; support objective owners’ use of the strategy management software. At the current plan’s conclusion, contribute to the final assessment and development of subsequent-year initiatives. Perform research, analysis, and report writing for the Chief’s Office projects, council reports, and emerging topics.
Administrative responsibilities. Maintain the highest confidentiality in coordinating and accurately recording weekly meeting notes and their prompt distribution. Review all Salem City Council agendas for department-related information and coordinate department staff reports for review via the City of Salem legislative management software. Support the strategic initiatives manager with coordinating in-person public engagement events and assist with press events and news conferences. Perform other duties as needed.
Position Schedule
The position schedule is a traditional business week model as part of a team that supports internal and external customer service Monday through Friday, 8 a.m. to 5 p.m. Duties include the possibility of working evenings or weekends for public events or circumstances involving crisis communications.
