      REPORTS TO Director of Community Education FLSA STATUS Exempt SUPERVISES Yes DEPT Community Education FTE 1.0 WORK CALENDAR 253 GRADE B APPROVED REVISED 3/3/2020 SUMMARY: Provide leadership and supervision over the District’s facility use, enrichment/sports and special events. Guide and problem-solve with staff located at different sites; mentoring staff and monitoring work flow; preparing and assisting with the planning; participating in the recruitment and selection process; and assessing professional development needs and collaborating with others to provide training. Supervise support staff including conducting performance evaluations, coordinating training, and implementing hiring, discipline and termination procedures. ESSENTIAL DUTIES AND RESPONSIBILITIES: Supervises the District’s facility use, enrichment/sports and special events. Prepares the facility use report on a weekly basis to be distributed to plant managers, school administrators, maintenance and operations, district cleaning company and any other departments who need the facility rental information. Coordinates school events and community events, ensuring all events are appropriately set-up and brokendown returning facility to original state, including coordination of custodial company to ensure proper clean-up. Attends and assists with scheduling, marketing, overseeing and implementing of special projects and events. (ie: interviews, meetings, special events, etc.) Assists in monitoring all Community Education Programs located at school sites and managing some or all related events to include providing technical assistance to events occurring in the district that require use of the advance auditorium expertise. Creates and implements enrichment programs that support and supplement school and community opportunities. Collaborates with community and business partners to develop and grow collaborative relationships that enhance community engagement. Provides process support for expenditures which may include obtaining vendor quotations, processing invoices, payment authorization data and processing time records. Monitors, coordinates and maintains resource scheduling, calendars, absence requests and related coverage of duties, and/or meeting room schedules; updates and maintains database information, website content, files, records and other documentation. Provides administrative support of budget processes and the maintenance of fiscal data; monitors expenditures and related budget allowances; prepares and reconciles data; submits reports; may receive, record and process payments for deposit. Assists in scheduling and coordinating special projects and events. Monitors and maintains office supplies and participates in supply purchasing. Supervises staff including conducting performance evaluations, coordinating training, and implementing hiring, discipline and termination procedures. Under the direction of the Director, oversees the coordination and management of The Vista Center of the Arts booking, rentals, ticket sales and marketing. Establish and maintain good rapport with students, employees, community members and vendors. Maintain a high level of ethical behavior and confidentiality. Performs other duties of a similar nature and level as assigned. EDUCATION AND EXPERIENCE: Associates degree and/or four (4) years of advanced administrative support, customer service, and analytical work required. Bachelors preferred. COMPUTER SKILLS: Demonstrated competency in Word and Excel. LICENSING/CERTIFICATIONS: Obtain and maintain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card (AZ IVP FPCC) KNOWLEDGE OF: Supervisory principles, practices and techniques. Practices and methods of coaching and leading the work of others. Principles and practices of conflict resolution. Basic budget administration. Business math concepts. Standard practices, methods and materials of assigned work. Filing and record-keeping principles. Uses and properties of supplies and equipment. Applicable federal, state and local laws, codes, regulations (based on assignment). Customer service principles. Specialized equipment relevant to area of assignment. Modern office technology. Composing and maintaining basic original documents including reports, presentations, and correspondence. Performing basic original research, compiling and assembling data. Organizing tasks, meeting deadlines and prioritizing competing demands. Overseeing and organizing and maintaining records and files. Interpreting and applying applicable laws, codes, regulations and standards. Providing customer service. Utilizing a computer and relevant software applications. Utilizing communication and interpersonal skills as applied to interaction with coworkers, supervisors, the general public and others to sufficiently exchange or convey information and to receive work direction. Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Working Conditions: Work is routinely performed in an indoor, office environment.
