      Position Highlights The Event Planning Office within the Arizona Student Unions is looking for an Events Coordinator (Conference and Events Planner I). This position will manage Express Catering orders and interface between the EPO and express dining units to ensure information flows correctly between the Unions and the client and to manage collection of payments. This position will also manage room bookings for UA student groups as well as a small client base of event planning.

      The Student Union Memorial Center is one of the largest student unions in the United States. At a size of 405,000 square feet, SUMC contains everything students need.

      This position will also be available to work nights, weekends and holidays as needed.

      Duties & Responsibilities
      • Receives and processes moneys for event planning invoices; posts moneys to account; relays any necessary billing information to Accounts Receivable.
      • Prepares and sends reservations/catering confirmations and invoices to customer. Distributes information to appropriate personnel.
      • Manages student group room bookings in Student Union Memorial Center - serves as central point of contact for UA student groups needing to reserve space in the SUMC; ensures rooms are available at requested dates and times and that reservations are kept current in master calendar.
      • Supervises student workers - hires, trains, schedules, and directs the work assignments of student workers, ensuring they understand and meet expectations of positions.
      • Develops proposals for potential customers and coordinates pending bookings of events, focusing on customer needs, logistics, and operational capabilities.
      • Works directly with catering, vendors, and event services staff to ensure all event logistics and catering options/menus are presented to the customer accurately and effectively.
      • Available to work nights, weekends and holidays as needed by the department.
      • Additional duties as assigned by supervisor.

      Knowledge, Skills, and Abilities:

      • Knowledge of scheduling and contract administration.
      • Knowledge of supervisory practices and principle.
      • Skill in public relations and handling complaints.
      • Skill in organization in order to coordinate several events simultaneously.
      • Skill in managing multiple tasks simultaneously in a timely manner.
      • Ability to function independently and intuitively in a fast-paced environment.
      • Ability to communicate effectively.

      Physical Requirements:

      • Occasionally transports/moves a maximum of 50 pounds.
      Minimum Qualifications
      • Bachelor's degree or equivalent advanced learning attained through experience required.
      • Up to 1 year of relevant work experience is required.
