      Overview

      Job Summary Statement:

      The Contingent Staffing Administrator is responsible for the day-to-day administrative activities of the Contingent Workforce team, providing excellent customer service to internal and external customers, tracking and ensuring job order fulfillment of suppliers, data tracking and matching skills of temporaries to the business’ needs.

      Essential Job Duties and Responsibilities:

      • Verifies entered job order, fulfillment and timekeeping data by reviewing, correcting, deleting, or reentering data; combining data from timekeeping.
      • Coordinating the receiving and onboarding of incoming temporary workers from supplier representatives and ensuring most efficient use of staffing resources on a day-to-day basis.
      • Anticipate and identify staffing shortages and use alternative strategies for fulfillment immediately.
      • Ensure data contained within Kronos and timekeeping system is accurate and up to date.
      • Perform duties associated with time and attendance reconciliation and reporting, as well as other daily tasks.
      • Provide retrieval ability to produce Contingent Workforce metrics for analysis and decision making, statistical data, and other related reports as required.
      • Coordinate with Payroll to ensure timekeeping integrity.
      • Provide Manufacturing & Distribution Management Metric Reporting daily.
      • Track and maintain records of knowledge, skills and abilities for contingent workforce. Ensure experienced contingent workers are placed in same areas of experience repeatedly.
      • Work with suppliers to ensure returning workers are assigned to same shifts and supervisors.
      • Track work hour/week compliance of contingent workforce.
      • Track and maintain database of Do Not Return (DNR) report in Kronos or other tracking system. Communicate updated report to suppliers, management, and security daily.
      • Maintain and enter data for labor cost efficiency reporting.
      • Understand and ensure contract compliance with suppliers.
      • Ensure the adherence to Igloo policy and process guidelines that drive standardization and simplification.
      • Filing as needed.
      • Assist with cross-affiliate special projects and recruiting initiatives.
      • Proactively identify possibilities to improve the work place environment, H.R. services, products or processes.
      • Other duties as required.

      Minimum Requirements and Qualifications:

      • Education: High school diploma or equivalency.
      • Experience: Minimum 1 year administrative/data entry/keyboarding experience.
      • Language skills: Able to read, write, speak and comprehend English; ability to converse comfortably with customers. Able to converse in Spanish.
      • Math skills: Able to add, subtract, multiply and divide.
      • Physical Demands: Office and production environment; able to move around the plant/manufacturing environment, walk long distances, and climb stairs.
      • Requires knowledge of word processing, advanced Excel experience and data base software.
      • Demonstrates the ability to interact with the public and coworkers in a friendly, enthusiastic, and outgoing manner.

      Preferred Qualifications:

      • Experience in Kronos timekeeping software.
