      WHAT WE CAN ACHIEVE TOGETHER

      The Contract Support Specialist is responsible for drafting, processing, and otherwise managing contracts for business units that are part of The Nature Conservancy's Southern Deltas. They will be responsible for administrative tasks related to contract management to meet the strategic priorities of business units in The Nature Conservancy's Southern Deltas (AL, LA, and MS.) They will complete a specialized internal training program to become a Certified Contract Specialist and participate in recertification training and community-of-practice discussions and meetings. They will draft contracts and amendments according to TNC SOP and best practice, with input from Project Managers. They will determine the correct contract or amendment template to use, assess risk factors, and review for reasonableness, thoroughness, and accuracy. The Contract Support Specialist will advise Project Managers on required forms, approvals, and reviews. They will coordinate contract and amendment development and review with various parties involved in contract administration and secure approvals on contract routing form or in contract management system. They will circulate drafts for required approvals from Legal, Grants, and other departments, obtain final signatures, and maintain an auditable file for each contract. The Contract Support Specialist will work with vendors to obtain required forms and information. They will maintain a contract database and develop a system for sending reminders to Project Managers on upcoming deadlines and end dates. They will determine if a contract amendment is needed based on various factors related to the work. The Contract Support Specialist will serve as a resource to various staff regarding contracts and all related TNC SOP, processes, practices, including training Southern Deltas staff as requested.

      In addition, the Contract Support Specialist may perform Information Systems administrative tasks, including processing forms, preparing reports and forecasts, and monitoring and preparing budgets. They will respond to inquiries about program activities, create program materials, and draft correspondence. They will be well versed in the systems and resources utilized by the team in order to execute assigned tasks. They will maintain, track and research data, produce and review reports, and perform program analysis. The Contract Support Specialist will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will provide support and targeted training related to the functional area of the team. They will implement processes and practices in order to improve effectiveness. They will communicate with staff in various programs across the Conservancy, as well as with donors, volunteers, vendors, and business relations. They will communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. They will assist in the transition and implementation of procurement modules in Workday.

      This can be a hybrid position located in a TNC Office in either Birmingham, Alabama or Baton Rouge, Louisiana. We are anticipating a start date of June 30, 2025 for this position.

      • Bachelor's degree and 2 years related experience or equivalent combination.
      • Experience coordinating administrative processes.
      • Experience generating reports and interpreting data.
      • Experience in business writing, editing, and proofreading.
      • Experience organizing time and managing diverse activities to meet deadlines.
      • Experience working across teams and communicating with a wide range of people.

      • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
      • Ability to analyze information for the purpose of coordinating and planning activities and solving problems.
      • Ability to use existing technology to achieve desired results.

      • Strong organization skills, accuracy, and attention to detail.

      Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.

      SALARY INFORMATION

      The starting pay range for a candidate selected for this position is generally within the range of $55,000 - $61,000 annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate's actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
