      Overview

      Location: Hybrid- WFH/Lisle (min 3 days in office per week)

      Hours: Monday- Friday 7:00am-3:30pm. Hybrid after 90 days.

      Under the direction of the Ancillary Administrative Manager, the Coordinator Ancillary Services is responsible for managing all back end tasks for assigned Physical and Occupational Therapy locations. Provides to sites a clean DAR, ensures all visits are authorized, and updates assigned sites on needs from providers and payers. The Coordinator Ancillary Services ensures work is accomplished in accordance with Duly Health and Care policies and payer rules for therapy benefits.


      Responsibilities

      The Journeys and Adventures that Await

      Manages daily appointments for assigned locations, including all necessary tasks associated with ensuring authorization of all visits

      • Manage Epic DAR for assigned locations.
      • Touch each therapy encounter for assigned locations to ensure visit is authorized.
      • Work collaboratively with Duly Health and Care to assist in identifying therapy-specific information needed from payers.
      • Update patient record with therapy authorization.
      • Make corrections to orders to therapy or request updated orders from ordering provider (e.g. PT to OT, expired orders, etc.).
      • Add external provider orders into Epic.
      • Send required provider notes to payer in order to obtain authorization for visits.
      • Communicates regularly with assigned locations on updates and/or changes to patient visit authorization.
      • Manage C POT referral in basket daily.
      • Cover other locations when other Coordinator Ancillary Services are out of the office.
      • Keeps up to date with referral process changes.
      Completes tasks associated with all active therapy patients

      • Runs the Medicare cap report weekly for PT/OT department, updating with patients monetary progress toward Medicare cap
      • Cross check Medicare for prior therapy care outside of Duly Health and Care
      • Process Undistributed report for PT/OT department
      • Run and complete Open/Unresolved Encounters report
      • Build patient estimates as requested and communicate them to patients
      • Enter patients into Vital Rock and send access instructions to patients
      • Discharge patients from Vital Rock
      • Discharge patients from PT/OT
      • Run and complete Lost Patient report for assigned locations
      • Enter all Joint Journey paperwork into Pinpoint for assigned locations
      Utilizes resources to ensure most up-to-date and accurate information regarding insurance and authorization is provided to patient and treating therapist
      • Uses online insurance resources to look up insurance approvals
      • Collaborates with team of Coordinator Ancillary Services to share best practice
      • Demonstrates an enthusiasm for learning new technologies, tools, and procedures to address challenges

      Qualifications

      The Experiences You Bring

      • Patient/client-facing experience preferred
      • Knowledge of OSHA, HIPAA, and employment legislation
      • High School Diploma or GED
      • Experience of 3 or more years preferred
      • Preference of experience in a patient/client-facing role and/or familiarity with insurance/authorizations
